Job Title : Operations Assistant

Status : Non- Exempt, 20 hours per week (4 hour work day - 5 days a week)

Department : Administration

Reports To : Director of Operations

Position Overview : The Operations Assistant plays a crucial role in supporting the smooth functioning of BVMI. This position is responsible for overseeing various administrative and operational tasks to ensure efficiency and effectiveness across different departments.

Key Responsibilities :

Administrative

  • Inventory management : Monitor inventory levels for clinical supplies and office supplies, research vendors, place orders, and coordinate with staff to optimize stock levels.
  • Procurement : Source and procure necessary supplies and equipment, ensuring cost-effectiveness and timely delivery.
  • General office duties : Handle general office tasks such as mail, filing, and running errands.
  • Compliance : Maintain compliance with OSHA regulations by updating and managing the OSHA binder.
  • Operations Manual : Maintain and update BVMI's Operations Manual on a semi-annual basis to ensure policies, procedures, and workflows are current and followed across all departments.
  • Administrative support : Provide administrative support to the Director of Operations and Operations Manager, including assistance with scheduling, reporting, internal communications, and coordination of daily activities.

Technology

  • Technology Support : Assist with basic first level technology support of computers and phones.
  • Telehealth support : Provide backup support for troubleshooting telehealth programs.
  • Clinical form management : Create, update, and maintain clinical forms, including converting medical history forms to PDF format.
  • Digital tools and content management : Support technology needs across departments, including editing and updating the website (preferred experience with Wix or similar platforms), creating materials in Canva, and familiarity with Google Sites or website builders.
  • Cross-Functional Collaboration :

  • Work closely with other staff members and departments to support organizational goals and initiatives.
  • Collaborate with volunteers and interns to delegate tasks and leverage additional support for operational activities.
  • Participate in staff meetings, training sessions, and strategic planning discussions to contribute ideas and insights.
  • Qualifications :

  • High school diploma or equivalent; Bachelors degree preferred.
  • Minimum of 2 years of office experience.
  • Experience in scheduling and procurement.
  • Strong organizational and time management skills.
  • Attention to detail and accuracy.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (or Google Workspace) and EMR systems (Athena preferred).
  • Tech-savvy with the ability to quickly learn and navigate digital platforms, website tools, and content creation software.
  • Valid drivers license and reliable vehicle.
