Position Summary
The Senior Executive Assistant to the CEO provides high-level administrative, operational, and strategic support to the Chief Executive Officer and executive leadership. This position requires exceptional organizational, communication, and problem-solving skills, with a focus on planning, coordination, and execution. The Senior EA acts as a key point of contact for internal and external stakeholders, manages sensitive information with discretion, and ensures the CEO’s time and priorities are aligned for maximum impact. Board engagement and support, event planning, and project coordination are also key responsibilities of this role.
Essential Job Duties / Responsibilities
Executive & Administrative Support
- Serve as the primary administrative partner to the CEO, managing complex calendars, meetings, and deadlines.
- Coordinate intricate travel logistics, itineraries, and expense reporting.
- Prepare and organize high-level meeting materials, including agendas, presentations, briefing documents, and reports.
- Attend meetings with or on behalf of the CEO; take minutes, track follow-ups, and ensure accountability on next steps.
- Manage confidential matters with discretion and handle sensitive information related to personnel, strategy, and governance.
Chief of Staff-Level Responsibilities
Assist the CEO in tracking progress toward organizational goals and strategic initiatives; identify delays, risks, and resource needs.Serve as a liaison between the CEO and leadership team, ensuring communication is streamlined and priorities remain aligned.Coordinate cross-functional projects, follow up on action items, and drive execution of special initiatives at the CEO’s direction.Prepare CEO briefing notes and strategic updates in advance of key meetings, site visits, or speaking engagements.Identify operational inefficiencies or risks and bring forward solutions to the CEO for evaluation.Support executive decision-making by gathering data, organizing inputs, and facilitating next steps.Board & Governance Support
Coordinate logistics for board meetings, retreats, and committee sessions; maintain board calendars and contact lists.Prepare and distribute board packets, meeting agendas, and minutes; track follow-up tasks and maintain documentation.Serve as a liaison to board members on behalf of the CEO, as appropriate.Communication & Stakeholder Engagement
Act as a key point of contact between the CEO and internal / external stakeholders, including staff, board members, partners, and donors.Draft, proofread, and manage communications such as memos, emails, letters, and announcements on behalf of the CEO.Represent the executive office with professionalism and emotional intelligence in all interactions.Project & Event Management
Coordinate executive-level projects, leadership retreats, strategic planning sessions, and special events.Maintain project tracking tools and ensure alignment with strategic priorities.Support preparation for speaking engagements, media appearances, or donor meetings.Financial and Operational Support
Monitor executive budgets and reconcile expenses related to travel, events, and department functions.Assist with vendor coordination, contract review, and administrative support related to the executive office.Oversee select operational systems such as digital filing, scheduling platforms, and internal process documentation.Knowledge / Skills / Abilities – General Performance
Proven ability to operate with tact, discretion, and emotional intelligence.Excellent written and verbal communication skills, including executive correspondence and presentation preparation.Strong project management and organizational skills, with the ability to manage competing priorities effectively.Ability to think strategically while executing tactically.Proficient in Microsoft Office Suite and project management platforms (e.g., Trello, Asana, or similar).Technologically fluent and able to learn new systems quickly.Experience working with nonprofit boards and / or fundraising stakeholders is a plus.Supervisory Responsibilities
This position has no supervisory responsibilities.
Education & Experience Required
Associate’s degree required; Bachelor’s degree in Business, Communications, or related field strongly preferred.Minimum 5 years of executive-level administrative support; experience in a nonprofit, government, or high-accountability environment preferred.Demonstrated experience coordinating cross-functional initiatives or providing direct support to C-level leadership.Valid Class “C” Texas Driver’s License required.Must be willing and able to travel up to 20% within Prospera’s service area.Communication Required

Primarily sedentary with frequent computer use and occasional off-site event support.Must be able to lift up to 30 pounds (e.g., materials for board meetings or events).Regular attendance and reliable performance under deadlines are required.The mental work demands regular attendance, working well with others, verbal contact with others, noise, and occasional travel by conventional means, including motor vehicles and the like, within Prospera’s region and other locations as required.Collaboration and Teamwork at Prospera
