Position Summary : This position under general supervision, operates as part of the care team performing a variety of non-patient facing functions including, processing referrals, scheduling and other duties to prepare for patient visits.

Essential Duties and Responsibilities :

The following duties and responsibilities generally reflect the expectations of this position but are not intended to be all-inclusive. Other duties may be assigned.

  • Provides customer service satisfaction to patients in a courteous and professional manner in accordance with performance standards
  • Works incoming referrals logs and contacts patients to schedule appointments.
  • Register and schedule patient appointments following established procedures.
  • Process incoming requests for patient medical records by accessing the EHR and logging the releases appropriately.
  • Prepare patient charts in the practice management system by sending patients electronic forms for completion, ensuring forms have been completed and accepted into the system, validating insurance coverage, determining proper payment upon check in.
  • Working any of the weekly reporting- recalls, cancellation / no shows, waitlist and missed visits reports and relating any follow up to practice staff as appropriate.
  • Monitoring of generic practice email inboxes for action required as needed.
  • Working the online scheduling worklist in the practice management system.

Experience Requirements

  • Minimum one-year experience in customer service, preferably in a related clinical environment
  • Ability to take direction and work with other staff both onsite and remotely.
  • Education, Licensure & Certification Requirements

  • High School diploma or equivalent
  • Associates degree or related healthcare certification, preferred
  • Knowledge, Skills and Abilities Requirements

  • Strong attention to detail and accuracy, professional attitude, reliable
  • Ability to handle confidential and sensitive information
  • Ability to communicate in an active multi-office environment
  • Ability to efficiently operate all job-related office equipment
  • Ability to follow or provide verbal and written instructions
  • Ability to relate to persons with diverse educational, socioeconomic and ethnic backgrounds
  • Basic to intermediate computer operation
  • Mathematical and / or analytical ability for basic to intermediate problem solving
  • Specialty knowledge of systems relating to job function
  • Supervisory Responsibilities
