Role Overview
The Event Sourcing Coordinator is a supplier-relations and sourcing specialist who develops, negotiates, and manages global vendor partnerships to support client programs. You'll run RFPs, structure deals, maintain our vendor CRM / RFP processes, and collaborate closely with Sales and Travel Operations to deliver data-driven recommendations on destinations, venues, and experiences. This is a dynamic, early-career role with significant ownership, process building, and global exposure.
What You'll Do
Supplier Relations & Negotiation
Source, vet, and build relationships with hotels, venues, DMCs, and local agencies across global markets.
Drive RFPs and competitive bidding, negotiate rates, concessions, and terms; coordinate payments and contracts.
Gather and synthesize supplier responses to client questions; ensure quality control and on-brand experiences.
Destination Research & Proposals
Research destinations, activities, seasonality, and logistics; evaluate fit vs. client goals and budgets.
Prepare itineraries, destination decks, and proposals; present clear tradeoffs and recommendations.
Data, Forecasting & Reporting
Maintain clean, organized pipeline data in CRM / RFP tools; track supplier performance and key metrics.
Build trip budgets and financial forecasts; use data to optimize deals and inform market selection.
Forecast inventory needs based on deal flow, trends, and market fluctuations.
Project Management & Process Scaling
Translate ambiguous problems into structured, actionable tasks and timelines.
Create scalable sourcing processes and SOPs; delegate and manage work via offshore support where appropriate.
Collaborate cross-functionally with Sales and Travel Operations to meet sourcing milestones and SLAs.
Platform & Knowledge Management
Maintain accurate market, destination, and hotel data in our platform; centralize DMC learnings and vendor intel.
While leadership is traveling, proactively identify meetings and partnership opportunities in target markets.
What You'll Bring
0–2 years of experience; event planning / tourism or hospitality operations experience preferred.
Strong communicator with excellent organization and follow-through; comfortable leading vendor conversations.
Negotiation mindset and enthusiasm for creating win-win supplier partnerships.
Analytical and data-driven; proficient with Excel and comfortable with CRMs.
Detail-obsessed yet able to see the big picture; process-improvement oriented.
Tech-savvy, curious, and adaptable; excited to learn new tools quickly.
Self-motivated, energetic, and comfortable wearing many hats in a fast-paced environment.
Arizona-based candidates strongly preferred; ability to travel domestically and internationally as needed.
Bonus : Experience in hospitality, operations, finance, or data analytics; passion for travel.
