Duties and Responsibilities :
Provide administrative and technical support to professional and supervisory staff within Child and Family Services, ensuring compliance with agency policies and procedures.Prepare, maintain, and track case files, reports, correspondence, and documentation related to family service programs and client activities.Assist with scheduling, coordination, and documentation of case meetings, court hearings, and service referrals.Input, verify, and update data in agency systems to ensure accuracy of child welfare and family support records.Respond to inquiries from families, partner agencies, and the public, providing information or directing them to appropriate staff or resources.Review documentation for completeness and compliance with established guidelines prior to submission or processing.Support program operations by monitoring deadlines, tracking required reports, and assisting in the preparation of statistical or narrative summaries.Collaborate with other units or agencies to exchange information, resolve administrative issues, and ensure efficient workflow.Greet and assist clients and partners at the front desk.Able to answer and direct phone calls from a multi-line phone systemMust have a valid driver's license and be willing to transport state wards.Requirements / Qualifications :
Minimum Qualifications :
Coursework / training in administrative / office support functions, procedures, and methods including the operation of personal computers and office equipment; or areas related to the programs and functions of the employing agency. OR Experience in customer service or public contact; or applying criteria / regulations; and / or performing administrative / office / secretarial support work including use of personal computers and office equipment.
Preferred Qualifications :
Experience providing administrative, technical, or program support in an office or customer service environment; experience working in social services, child welfare, or human services setting supporting case management or program operations is a plus.Ability to learn and use databases or computer systems to manage and track information.Ability to manage multiple tasks, meet deadlines, and communicate effectively in a professional environment.Knowledge, Skills, and Abilities :
Knowledge of standard office practices, procedures, and equipment used in administrative and program support.Agency or program policies, regulations, and guidelines related to child and family services (or the ability to learn them quickly).Recordkeeping, filing systems, and data entry methods to maintain accurate and organized documentation.Basic principles of customer service and professional communication.Confidentiality standards and privacy requirements related to client and case information.Organizing, prioritizing, and completing multiple tasks within established deadlines.Using computer applications and databases to enter, track, and retrieve information accurately.Preparing, proofreading, and editing correspondence, reports, and case documentation.Communicating clearly and respectfully, both verbally and in writing, with staff, families, and external partners.Identifying and resolving routine problems by applying established rules, policies, and procedures.Interpret and apply detailed guidelines, procedures, and policies to varied situations.Exercise sound judgment and maintain professionalism when handling sensitive or confidential information.Work effectively both independently and as part of a team in a fast-paced environment.Adapt to changing priorities while maintaining attention to detail and accuracy.Establish and maintain positive working relationships with colleagues, clients, and community partners.
