Role Mission : As a Design Coordinator in the Esperanza Homes division, you play a vital role in ensuring the success of the Design experience by providing operational excellence, schedule accuracy, and exceptional customer support. You serve as the first point of contact for many homebuyers, helping to create a welcoming, organized, and inspiring environment within the Design Studio. Through diligent management of appointment schedules, documentation, and internal coordination, you enable the Design Team to deliver a seamless and timely customer journey. Your attention to detail, clear communication, and commitment to service support the broader goals of the Operations team and contribute to our shared purpose of creating beautifully engaging communities through thoughtful design and exceptional experiences.

  • Accountabilities :

    Appointment & Calendar Management :

  • Schedule all Design Selection and Final Design Appointments in alignment with the Pre-Construction Schedule
  • Ensure accuracy and alignment between internal Design calendars, ITK schedules, and time-stamped appointment entries
  • Audit completed appointment records for proper documentation, signatures, and timely filing
  • Track Design Cycle timelines and SPEC home milestones to ensure key deadlines are met
  • Input Design Dollars Sold and Investment Ranges for SPEC homes to support Pre-Construction and Sales visibility
  • Administrative & Operational Support :

  • Create accurate addendums for SPEC homes using established templates and matrices from the Vice President of Operations
  • Prepare weekly proformas on upcoming homes to analyze margins, option spend, and home selections prior to start
  • Review and maintain the Design Selections Book and option catalog monthly, flagging changes or discrepancies for leadership review
  • Communicate any issues or changes from Design Selection and Final Design appointments to the Manager and Sales Team
  • Maintain appropriate stock of office supplies and refreshments for the Design Studio, ensuring readiness for all customer-facing interactions
  • Customer Experience :

  • Greet customers upon arrival and help set the tone for a welcoming and professional Design Studio environment
  • Conduct Design Studio Preview tours and E-Difference experiences for prospective and contracted buyers
  • Educate buyers and prepare customers for their appointments through clear, proactive communication via welcome calls, emails, and other touchpoints
  • Present at the Design Studio during business hours Monday through Friday, ensuring it is open and prepared to provide a welcoming customer experience
  • Design Studio & Product Support :

  • Maintain the appearance, cleanliness, and organization of the Design Studio and all samples and displays
  • Organize samples and displays to maximize space and ensure customer usability
  • Interdepartmental Communication & Contribution :

  • Facilitate clear communication across departments by documenting selections accurately and sharing relevant updates in a timely manner
  • Collaborate with Construction, Sales, Purchasing, and Operations to ensure successful execution of Design selections
  • Identify and communicate any pricing, plan, or product inconsistencies to management and Purchasing
  • Exhibit active listening and tact in all interactions with internal and external stakeholders
  • Other Duties as Assigned :

  • Qualifications, Knowledge & Skills :

  • Associate’s degree (A.A.) or equivalent from a two-year college or technical school preferred
  • One to two years of experience in design coordination, administrative support, or customer-facing roles
  • Equivalent combination of education and relevant experience will be considered
  • Strong organizational skills and the ability to manage files, documents, and schedules across multiple projects
  • Familiarity with interior design materials, or construction terminology is a plus
  • Experience supporting teams through document preparation, meeting coordination, and systems input
  • Clear, professional communication skills and the ability to interact with customers, trade partners, and internal departments
  • Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook
  • Experience with MarkSystems or similar construction / design software is a plus
  • Personable, adaptable, and approachable while maintaining professionalism and accuracy
  • FLSA Status : Non-exempt
