Job responsibilities will include, but are not limited to : The Administrative Assistant will provide coverage for the Director's Office. The candidate must be creative and enjoy working in a busy environment that is mission and results driven. This individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Administrative Assistant provides confidential administrative support to Executive Leadership and backup to the Executive Assistants within the Director's Office. This individual will assist in managing resources and information, planning and scheduling meetings and project activities. Duties are administrative and project-based to include making travel arrangements and completing all required paperwork per the Travel Policy, handling information requests, preparing reports and correspondence and with Executive Management. The business needs for this position have in-office requirements to include but are not limited to assisting with in-person meetings and events, taking notes during internal and external meetings, and providing in office presence when directed by Leadership and supervisor. Competitive candidates will meet these minimum qualifications : Considerable experience of specific programs and / or operations in an administration assistant role for Executives. Experience using DocuSign and other electronic signature software. Considerable experience preparing meeting minutes and notes. Considerable Experience planning, organizing, implementing, and monitor large scale and time sensitive projects. Considerable experience using Microsoft Office including Microsoft Email, Calendar, Word, Excel, and PowerPoint. Knowledge / Experience interpretation and application of federal, state laws / regulations. Considerable experience meeting deadlines. Considerable experience in interacting with internal and external stakeholders.
Competitive candidates should meet these additional considerations : Knowledge / Experience of Executive Branch Agency policies and procedures. Experience writing, reading and speaking Spanish.
