As we continue to expand we are seeking a proactive and highly organized Virtual Assistant to support our executive and management teams in streamlining operations managing communications and enhancing productivity across departments.
Position Summary
The Virtual Assistant will provide comprehensive administrative operational and coordination support to ensure the smooth execution of GSR Groups daily business activities. The ideal candidate will be detail-oriented tech-savvy and capable of working independently while maintaining excellent communication with team members and executives.
Key Responsibilities
Administrative Support
Manage executive calendars appointments and meeting schedules.
Coordinate internal and external meetings including agenda preparation and follow-ups.
Handle professional correspondence draft communications and prioritize tasks.
Maintain organized and efficient digital filing systems and company documentation.
Operational Coordination
Assist with project tracking ensuring deadlines and deliverables are met.
Support onboarding of new clients team members and vendors.
Maintain and update company databases spreadsheets and CRM systems.
Coordinate logistics for events travel and special projects as required.
Communication & Client Relations
Serve as a professional liaison between executives clients and internal teams.
Respond promptly to inquiries and provide updates or follow-ups when needed.
Prepare and edit presentations proposals and management reports.
Financial & Administrative Assistance
Assist with invoice tracking expense reporting and record keeping.
Support basic budget monitoring and procurement processes.
Conduct market research and compile insights to support strategic decision-making.
Digital & Technical Support
Manage productivity and collaboration tools (Google Workspace Microsoft 365 Asana Trello etc.).
Coordinate basic website or social media updates as directed.
Identify opportunities to streamline administrative systems and enhance efficiency.
Qualifications & Skills
Required :
Minimum of 1 years of experience as a Virtual Assistant Executive Assistant or similar role.
Excellent written and verbal communication skills.
Exceptional organizational and multitasking abilities.
High proficiency with modern office software and remote collaboration tools.
Strong attention to detail and commitment to confidentiality.
Self-motivated with the ability to work independently under minimal supervision.
Preferred :
Bachelors degree in Business Administration or related field.
Experience supporting executive or leadership teams in a corporate or consulting environment.
Familiarity with CRM platforms (HubSpot Salesforce etc.).
Basic bookkeeping or reporting experience.
