Reports to : Lead Order Management Specialist

Location : Waco, TX

Work Schedule : Monday-Friday, 8 : 00am-5 : 00pm, overtime may be required

Job Summary :

The Order Coordinator is responsible for ensuring the timely, accurate, and complete entry of customer orders into the ERP system. This role serves as the first line of quality control and enables downstream scheduling, purchasing, and customer fulfillment processes.

Key Responsibilities :

  • Review Sales Order Packet for completeness (signed PO, blaze sheet, credit release, etc.).
  • Validate customer-supplied chassis information and ETA prior to slotting.
  • Accurately enter all order line items and configuration into ERP (Epicor).
  • Coordinate with Sales and OM to confirm install date availability.
  • Populate key fields : Customer Request Date, Promise Date, Chassis Receipt Date, Install Start Date, Ship Date.
  • Flag discrepancies between customer PO and internal configuration for resolution.
  • Initiate Sales Order Acknowledgement and route for signature.
  • Maintain queue of incomplete or on-hold orders and follow-up as needed.
  • Escalate urgent issues that may impact production slotting or delivery commitments.
  • Support audit reviews of order accuracy and customer packet compliance.
  • Track training expenses, maintain records, and assist with scheduling.

Qualifications :

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • 2+ years of experience in order entry, sales operations, or customer service within a manufacturing or distribution environment.
  • Experience using ERP systems (Epicor strongly preferred).
  • Strong attention to detail and data accuracy.
  • Ability to interpret customer purchase orders and internal configuration documentation.
  • Comfortable navigating cross-functional communication with Sales, Operations, and Finance teams.
  • Proficient in Microsoft Office Suite, particularly Excel and Outlook.
  • Strong organizational and time management skills with the ability to manage multiple priorities in a fast-paced setting.
  • Clear and professional written and verbal communication skills.
  • Ability to solve problems and escalate issues appropriately when needed.

  • Order Entry Accuracy (% of orders entered without rework).
  • Order Turnaround Time (from packet receipt to ERP entry).
  • Compliance Rate (% of orders with complete documentation at entry).
  • Exception Reduction (tracked order holds due to missing / incomplete data).
