The Executive Assistant (Part-Time) provides high-level administrative support to the department's executive team, including the Fire Chief and two Deputy Chiefs based at Fire Station 11 (Headquarters). This position plays a key role in ensuring the smooth and efficient daily operations of the administrative office through strong coordination, organization, and communication.
Work involves complex and confidential assignments requiring discretion, sound judgment, and the ability to anticipate needs in a fast-paced environment. The Executive Assistant manages schedules, correspondence, and meeting logistics; assists with project coordination; and maintains records and documentation for multiple divisions.
The position requires advanced proficiency with office technology and systems, strong problem-solving and organizational skills, and the ability to work independently while balancing multiple priorities. The Executive Assistant also supports data collection and report generation, contributing to the department's overall efficiency and success.
This position is based at Fire Station 11 (Headquarters) and is limited to a maximum of 29 hours per week. The schedule is flexible and may be structured as approximately 4-5 hours per day over four days per week, or another variation that best supports the needs of the department and the selected candidate's availability.
This is a supplemental, variable position and may not exceed 29 hours per week and 1,040 hours per year.
