This role provides high-level administrative support to the VP of Enterprise Architecture, a Managing Director of US-E Enterprise Architecture, and our Head of AI for Enterprise Architecture. Role duties include a variety of tasks such as meeting / calendar management, travel management, expense report management, new employee onboarding support as well as support for local office events. Work requires confidentiality, initiative, and judgment in making decision.

This role is hybrid with 3 days per week required in the Austin, TX office . Tuesday and Wednesday are required days.

Responsibilities :

  • Perform diversified and confidential administrative duties for department leader and (2) senior leadership direct reports, utilizing broad and comprehensive experience, skill and knowledge of organization policies and practices :
  • Travel : Handle travel arrangements using Cigna's online travel booking tool
  • Expenses : Accurate and timely submission of expense reports as well as review, rejection, or approval of policy adherent expense reports submitted by team members
  • Onboarding : Plan and coordinate on-boarding and off-boarding of employees / contractors (ordering of equipment, office badge requests, etc.)
  • Productivity Support : Secure help desk support as needed to trouble shoot / resolve key issues as they arise
  • Special Projects / Programs : Manage team-wide projects / programs as needed, such as team-building events, all hands meetings, and office engagement events or off-sites (catering, space set up, etc.).
  • Office Support : provides support for office engagement functions including event management, catering, invites, coordination of vendors, etc.
  • Office Support : Will serve as the back up to the other Executive Administrative Assistant who is the facilities and site coordinator with leadership.
  • Communicates professionally and collaborates with internal and external stakeholders creating a welcoming and inspiring environment

Qualifications

  • 5- 10 years’ experience as an Executive Assistant, with demonstrated ability to support multiple senior leaders, strongly preferred
  • Collaborative team player that can build / maintain a team based environment with intra-department and Enterprise Administrative Assistant community and work closely with employees at all levels within the organization
  • Professional demeanor with excellent verbal and written communication skills
  • High degree of integrity and accountability to delivery strong, high-quality outcomes
  • Ability to work independently and maintain confidential information in highly professional manner
  • Ability to have a high-level of accuracy and detail-oriented
  • Demonstrated flexibility, ability to adjust priorities, and a solutions-oriented mindset required
  • Proactively anticipates needs of the team – always thinking ahead
  • Experience with supporting a virtual workforce
  • Possess technical proficiencies with audio and voice equipment as well as mobile and desktop devices.
