This position supports all aspects of accounts payable, ensuring that all deadlines are met with the highest degree of accuracy. This position also serves as initial contact for all callers and visitors of the organization.
Duties and Responsibilities :
Prepare and enter all approved invoices for payment
Code all expenses to the appropriate general ledger account, division, and department per the annual budget
Interface with departments to secure proper payment approvals
Oversee maintenance of accounts payable files and records
Respond to all vendor and employee inquiries regarding invoices, expenses, and check requests; resolve invoice discrepancies
Process and oversee expense reimbursement and reporting
Oversee company purchasing card maintenance and reporting
Prepare accounts payable reports
Analyze and track accounts payable amounts; prepare analysis of accounts as required
Assist with monthly closing process
Assist with preparation for annual audits
Answer, screen and direct calls on a multi-line phone system in a courteous and professional manner
Meet and greet all visitors; determine their needs and direct them to the appropriate employee / location
Open and route incoming mail
Organize and maintain reception area
Assist with related special projects or duties as required or assigned by management
Attributes / Experience / Skills :
Associates degree (AA) or equivalent, at least two years related experience or equivalent combination of education and experience
Proficient in Excel and Google Suite
Experience with ERP or similar software
Excellent written and verbal communication skills
Excellent attention to detail and accuracy in entering financial data
Ability to prepare reports and business correspondence
Ability to calculate figures and amounts such as discounts, interest, commissions, and percentages
Strong organizational, problem solving and analytical skills
Able to manage priorities and workflow with frequent interruptions
