To help shape and support our US operations we are seeking an experienced and proactive Office Manager and Executive Assistant (EA) to the Chief Operating Officer (COO).

The role

An exciting opportunity awaits for an Office Manager and EA to the COO to shape the culture processes and presence of Syentas US operations. As Office Manager and EA youll ensure the smooth day-to-day running of our US office while providing high-level administrative and operational support to the COO. This position is ideal for someone passionate about fostering a dynamic welcoming workplace and who enjoys working in a fast-moving environment.

Day to Day

Office Manager

  • Manage day-to-day office operations including office set-up supplies and vendor coordination
  • Oversee office maintenance and liaise with building management and service providers to ensure a functional safe workspace
  • Coordinate onboarding and offboarding processes for new US team members
  • Organize company events meetings and team-building activities for the growing US team
  • Assist with operational and administrative processes to streamline workflows during the companys expansion phase
  • Support cross-functional coordination between US and Australian teams
  • Champion Syentas culture and values fostering a collaborative and positive work environment

Executive Assistant

  • Manage the COOs inbox and calendar prioritizing requests and maintaining flow including drafting correspondence and handling admin tasks
  • Serve as the primary point of contact for internal and external communications related to the COO
  • Prepare high-quality documents for internal meetings external communications and investor presentations
  • Coordinate business travel and accommodation logistics
  • About You

  • 5 years of experience as an Office Manager Executive Assistant or similar administrative role
  • Proven ability to manage multiple and changing priorities in a fast-paced evolving environment
  • Strong organizational and communication skills
  • High degree of professionalism discretion and judgment in handling sensitive information
  • The ability to anticipate identify and address challenges proactively and be resourceful in solving problems
  • Experience planning and coordinating team events meetings and community initiatives
  • Demonstrated ability to help foster a strong values-driven team culture
  • A community-oriented mindset with a genuine passion for supporting colleagues connecting people fostering collaboration and building a sense of belonging to enhance the workplace experience
  • Confident using digital tools for office management communication and workflow coordination
