About the Job :

As a Mail Data Specialist at Visions, you wont just process datayoull play a key role in shaping the customer experience. Your expertise will directly impact the success of marketing campaigns and communications that connect businesses with their customers. Duties & Responsibilities :

  • Manage and maintain accurate mailing databases, ensuring data integrity and quality control.
  • Import, export, and manipulate mailing data using Monarch ERP or similar software.
  • Perform data cleansing, deduplication, and standardization to ensure accuracy.
  • Generate reports, mailing labels, barcodes, and output for inkjet, variable print, and web-based applications.
  • Troubleshoot a wide range of customer-supplied files in varying formats.
  • Program and manage variable data fields for customized communications.
  • Collaborate with internal teams and clients to understand requirements and deliver precise results.
  • Ensure compliance with USPS regulations, mailing standards, HIPAA requirements, and Visions security policies.
  • Uphold the highest standards of confidentiality, data handling, and quality assurance.

Knowledge, Skills, Abilities & Other Attributes :

  • Technical Skills :
  • Proficiency in Monarch ERP or similar data management software.

  • Strong knowledge of postal regulations, address formatting, and USPS software.
  • Proficiency with BCC Mail Manager (or similar programs).
  • Intermediate / advanced skills in Microsoft Excel.
  • Experience with digital press applications, variable data, and web programming.
  • Problem Solving : Ability to troubleshoot diverse data files and deliver efficient solutions under deadlines.
  • Teamwork : Strong interpersonal skills and the ability to collaborate effectively across departments.
  • Compliance : Understanding of HIPAA, data confidentiality, and ISO 9001 standards (preferred).
  • Education & Experience :

  • Education / Experience : High school diploma (or equivalent) required; Associates or higher preferred.
  • Experience : 35 years in data management, mail data processing, or a related field.
  • Recommended / Preferred :

  • Familiarity with ISO 9001 standards and experience working in a certified ISO 9001 environment.
  • A detail-oriented mindset with a commitment to quality and accuracy.
  • Leadership skills and the ability to take initiative in solving problems.
  • Pride in delivering results that meet high standards and make a real impact.
  • Physical Requirements :

  • Ability to sit or stand for extended periods while working with computers and data.
  • Manual dexterity to operate computer equipment and peripherals.
  • Ability to lift and move boxes of printed materials up to 25 lbs.
