The Role

This is a dynamic hybrid role that blends sales operations, CRM management, and executive support. The Sales Operations & Executive Support Administrator will work and report directly to the President of the company, while supporting the firm’s business development efforts, managing CRM workflows, and ensuring that all sales and client‑facing processes are coordinated seamlessly. This is not a sales position; it’s a sales enablement and administrative leadership role designed for a professional who thrives behind the scenes, making things run smoothly, accurately, and efficiently.

Responsibilities

Sales Operations & CRM Administration

  • Maintain and optimize the firm’s CRM system (FileMaker) to ensure accuracy, completeness, and usability across the sales team.
  • Act as a CRM administrator, updating data, running reports, and supporting leadership with insights and tracking tools.
  • Monitor the sales pipeline and assist with lead management, follow‑ups, and opportunity tracking.
  • Prepare, send, and manage contracts, proposals, and related documentation.
  • Coordinate post‑meeting and post‑event follow‑ups to ensure consistent relationship management.

Sales & Business Development Support

  • Research and qualify prospective referral partners such as brokers, attorneys, and property managers.
  • Coordinate outreach campaigns and schedule introductory meetings for the President and other sales leaders.
  • Support logistics for speaking engagements, conferences, and client meetings — including preparation materials and travel coordination.
  • Assist with the development of presentation decks, event collateral, and follow‑up communications.
  • Executive & Administrative Support

  • Manage the President’s calendar and travel arrangements, ensuring logical scheduling, efficiency, and preparedness for all engagements.
  • Provide limited executive administrative support such as correspondence, meeting prep, and internal coordination.
  • Serve as an in‑office resource, ensuring smooth communication and operational flow between leadership and staff.
  • Collaborate closely on CRM initiatives, data quality, and sales reporting.
  • Qualifications

  • 5+ years of experience in sales operations, sales support, or executive assistant roles, ideally supporting a sales or business development executive.
  • Demonstrated experience managing or administering a CRM platform (FileMaker preferred; Salesforce, HubSpot, or similar acceptable).
  • Strong administrative and coordination skills with meticulous attention to detail.
  • Excellent written and verbal communication skills; able to craft professional, polished correspondence.
  • High comfort with technology — Microsoft 365, , and modern productivity tools; curiosity about AI tools a plus.
  • Experience handling contracts, proposals, and workflow tracking.
  • Ability to manage multiple projects simultaneously with composure and accuracy.
