Office Manager (temp-to-hire)
Overview :
Our construction client is seeking a detail-oriented Office Manager to oversee administrative operations, project documentation, and billing workflows. This is a temp-to-hire opportunity, with a temp period of ~3-4 months.
Location : In between Bedford Park and Bridgeview, IL (Zip code 60638)
Work setting : Fully onsite; Monday – Friday
Hours : 40 / hrs. a week; 8am – 5pm
Compensation : $80k - $90k (based on experience)
Key Responsibilities :
Office & Operational Management
- Oversee day-to-day office operations and serve as the onsite admin point of contact
- Support internal communication, scheduling, and coordination with internal teams
- Maintain structured project documentation and filing systems (digital and hard copy)
Financial Administration & Invoicing
Prepare weekly invoices, including progress billing, lien waivers, and supporting documentsTrack accounts receivable and follow up on outstanding invoicesHandle certified payroll submissions and track time, payroll inputs, and equipment usage.Monitor new projects, change orders, contract numbers, and related billing documentation.Compliance & Documentation
Request, collect, and maintain required payout documents from subcontractorsManage monthly contractor / subcontractor payment confirmations through online portals.Maintain annual business registrations and general compliance documentation.Manage compliance documentation, subcontractor paperwork, audits, business registrations, and vehicle / equipment renewals.Qualifications
Bachelor’s degree in business, Accounting, Finance, or related field.3+ years of office administration experience in construction industryKnowledge of certified payroll, progress billing, and lien waivers.Strong organization, accuracy, and ability to manage multiple priorities independently.Proficiency with Microsoft Office and construction / accounting software.
