PRIMARY PURPOSE

The Protected Health Information Records Specialist is responsible for supporting the daily operations of Quality Assurance by ensuring effective communication, efficient workflow, and consistent service delivery. This role contributes directly to organizational success by maintaining compliance with policies and standards, supporting staff and clients, and fostering a culture of quality and accountability.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Reviews client chart closures to ensure all documentation is complete, accurate, and compliant with organizational policies, and regulatory standards.
  • Audits closed charts for timeliness, completeness, and quality; identify discrepancies or missing elements and works with providers / staff to resolve issues.
  • Generates and issues completion certificates for finalized services, programs, or treatment episodes, ensuring documentation aligns with compliance and quality standards.
  • Participates in quality improvement and compliance initiatives as needed.
  • Maintains accurate and confidential documentation consistent with HIPPA, 42CFR Part 2, and organizational standards.
  • Performs other duties as assigned.

MINIMUM QUALIFICATIONS AND EXPERIENCE

Experience, Education, and Credentials

  • High school diploma or equivalent required; post-secondary education preferred.
  • Experience in healthcare, behavioral health, or administrative support role strongly preferred.
  • Certification in protected health information management a plus.
  • Knowledge, Skills, and Abilities

  • Strong organizational and time management skills.
  • Ability to manage multiple tasks simultaneously.
  • Excellent written and verbal communication skills.
  • Proficiency with EHR systems, Microsoft Office Suite, and other administrative tools.
  • Ability to work collaboratively with providers, staff, and external partners.
  • Commitment to confidentiality, professionalism, and client-centered care.
  • Other Required Qualifications

  • Must be able to pass a criminal background check.
  • WORKING CONDITIONS

    Physical Demand

    Reaching, keying / typing. Lifting less than 1 lb. : more than 70%; between 1 & 5 lbs. : 15-40%. The effort reflected is typically applied in the following work positions : Sitting, stooping, standing, bending and walking.

    Mental or Visual Demand

    Frequent mental and / or visual attention; the flow of work in intermittent.

    Environment

    Exposure to noise. The job is typically performed under very comfortable working conditions; any disagreeable elements are generally absent during normal performance of job.

    Scheduling

    Program is an administrative program during standard business hours, generally between 8 : 00 am and 6 : 00 pm. The position's schedule will be generally set week-to-week with occasional adjustments for staffing and workload.

  • Will vary, depending on experience and credentials.
