Description
Under the guidance of the Executive Director for Facilities Management, this position will provide technical expertise and support for applications used within the department, including the work order, access control, video surveillance and related solutions. Position will recommend optimum software configurations, and provide technical guidance with regard to proper data processing methods, performance standards, and security measures. This position will also provide technical assistance by monitoring the Universitys fire alarm and HVAC building automation systems.
Examples of Duties
70% I. Provide technical expertise related to SIU Facilities Management systems :
- Manage all aspects of the Facilities work order system. Communicate with vendor consultant regarding updates and maintenance to the Facilities work order systemUpdate configurations within the Facilities work order system, including workflows, status categories, work types in order to facilitate appropriate flow of work order requestsWork with Facilities leadership and outside departmental contacts to make updates to the Facilities work order system as necessary to capture all necessary data based on the request and to ensure ease of use for all end users.Assist vendor in making system updates and testing new / revised functionality within the system as revisions become available.
- Manage tasks in coordination with vendor regarding update / installation of CCTV cameras and monitor / update the Facilities security system accordingly.Retrieve video as requested by HR, Compliance and / or other members of leadership, ensuring the strictest confidentiality. These requests could lead to disciplinary action of SIUSOM employees and staff that violate institutional policy and procedures resulting from information gathered.Work with the vendor to troubleshoot and resolve issues regarding all aspects of video security mechanisms.Coordinate and supervise contracted work dealing with CCTV system devices and system controlsCoordinate server and network activities / troubleshooting with Information Technology staff as needed.
- Manage Facilities security access system to include monitoring, providing access, troubleshooting and resolving issues for all levels of University and non-university staff to ensure the system is functioning as expected.Provide access cards to staff, faculty, students, contractors and other non-university personnel to allow them access to University facilities to perform work and other campus related services as requested through the Facilities work order system.Work with partner organizations (SMH, SJH, SCI) to provide joint access to all necessary locations on and off campus.Work with University personnel after work hours regarding access credential issues based on requests received via the Facilities work order system, HR or member(s) of senior leadership.Coordinate and supervise contracted work dealing with electronic access control and / or key accessible doors and hardware.Coordinate server and network activities / troubleshooting with Information Technology staff as needed
- Assist with monitoring the Universities mechanical, electrical, and fire alarm systems and coordinate the response of maintenance and emergency service personnel when notified of abnormal conditions.
20% II. Provide analytical support to department leadership related to SIU systems :
Extract data and create functional statistical reports from the Facilities work order system utilizing Microsoft Excel / pivot tables regarding departmental requests and completion of work orders in order to measure work order requests by Line of Business, Origination to Completion time, Completion by Employee, etc.Receive, prioritize, process, coordinate all work orders and dispatch Facilities personnel as needed to remedy maintenance and other related work requests submitted via the Facilities work order system.Track and report support costs / hours for all Facilities systems. Work with the Financial Operations Manager within the Facilities Management Department to purchase additional consulting time as necessary from the vendor.Utilize and track all requests for access control and provide reports of status completed work and work still pending as it relates to projects.Provide status reporting for failures relating to door access control systems or video systems.10% III. Provide administrative support to the department as well as University staff regarding the use of SIU systems :
Develop policies and procedures for the Facilities Department as well as University users regarding the use of the Facilities work order system.Provide training sessions to University personnel regarding the use of the Facilities work order system based on their departmental needs.Ensure that all customers, staff, faculty, etc., are provided with appropriate IT user access to the Facilities work order system according to established SIU security guidelines.Provide exceptional customer service to all levels of University personnel as well as all external customers regarding requests and complaints. Diffuse any situations by finding amenable solutions that satisfy all partys needs.Perform other technical, analytical or administrative duties related to this position as requested by the Executive Director or other members of leadership.Qualifications
Minimum Acceptable Qualifications
CREDENTIALS TO BE VERIFIED BY PLACEMENT OFFICER
High school diploma or equivalent.Any one or any combination totaling three (3) years (36 months) from the following categories : College coursework which includes Information Technology (IT), IT Management, Programming, IT systems, or a closely related discipline, as measured by the following conversion table or its proportional equivalent : 30 semester hours equals one (1) year (12 months)Associates Degree (60 semester hours) equals eighteen months (18 months)90 semester hours equals two (2) years (24 months)Bachelors Degree (120 semester hours) equals three (3) years (36 months)Work experience in IT-related functions such as hardware / software support, programming, network design, network engineering, IT systems integration, or closely related field.Based on position requirements, additional education, training, and / or work experience in the area of specialization inherent to the position may be required.Desirable Qualifications
Experience administering a work order and ticket tracking system (Brightly, etc.)Familiarity with IP-based video surveillance solutions (Avigilon, Axis, Verkada, etc.)Familiarity with access control systems (Lenel, Avigilon, etc).Supplemental Information
