Job Description :
The Administrative Assistant will provide high-level onsite support to the Chief Financial Officer (CFO) and broader backup support to the New York executive suite. This individual will manage a broad variety of executive administrative tasks, help ensure the smooth running of daily operations, and function as a key liaison across internal and external partners.
Key Responsibilities & Duties :
- Provide proactive, comprehensive calendar management for the CFO, including complex scheduling across multiple time zones, coordinating internal and external meetings, and anticipating scheduling conflicts.
- Prepare, format, and distribute materials, agendas, and presentations for executive meetings; ensure a clear understanding of expectations and deliverables.
- Manage expense report preparation, submission, tracking, and reimbursement for the CFO; support cost management and assist with budget tracking as needed.
- Arrange and oversee detailed domestic and international travel itineraries, including transportation, accommodations, and meeting logistics; handle last-minute changes with composure and accuracy.
- Serve as the primary contact for facilities-related requests (e.g., maintenance, cleaning, HVAC) and coordinate with building management, office services, and IT on behalf of the executive team.
- Assist with workspace planning and daily office operations to ensure a productive environment.
- Oversee executive event logistics, including leadership offsites, client meetings, internal culture events, and special projects.
- Collaborate closely with administrative colleagues supporting other senior leaders, including the Nuveen Leadership Team, handling cross-team requests and sharing best practices.
- Exercise discretion and confidentiality in all aspects of the role, with a demonstrated ability to listen, interpret, and quickly act on the needs and concerns of the executive(s).
- Act as backup support for fellow executive assistants as needed.
- Additional duties and projects as assigned by leadership.
Required Qualifications :
A minimum of 2 years of professional experience as an administrative assistant (preferably supporting C-level or senior executives), receptionist, conference services, or events coordinator.High school diploma or equivalent.Preferred Qualifications :
Advanced proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint); ability to quickly learn additional business applications.Superior oral and written communication skills, with attention to detail, clear and professional speaking, writing, and listening abilities.Demonstrated organizational, project management, and multitasking skills; able to effectively prioritize competing requests.Exceptional professionalism, reliability, and positive attitude; ownership mindset and willingness to take responsibility for outcomes.Comfortable interacting with and supporting various senior leaders, both internally and externally.Ability to handle confidential information with discretion and integrity.Willingness and flexibility to work overtime and respond to urgent requests, as needed.
