Shop Office Coordinator

We are a leading fabrication and manufacturing operation seeking a highly organized and proactive Shop Office Coordinator to be the central point of contact and administrative anchor for our plant. This role is essential for maintaining efficient daily operations, supporting our production team, and ensuring accurate processing of all logistical and payroll-related documentation. Key Responsibilities
1. Operational & Financial Coordination
- Invoicing & Cost Control : Maintain accurate records for all freight and galvanizing invoices, ensuring proper rates and pricing are applied to control costs effectively.
- Production Reporting : Accurately track and report daily shop hours and tonnage worked, and update the supply chain report with remaining fabrication tonnage.
- Vendor Management : Handle weekly check collection from Accounting for shop vendors and process expense reimbursements for shop staff.
- Supply Management : Oversee the inventory and ordering of essential shop supplies, including CO2 and Oxygen tanks, and manage the employee uniform program.
- Approve the weekly Cintas service invoice.
2. Human Resources & Payroll Support
Timecard Management : Review, approve, and correct all weekly ADP timecards for shop personnel and manual timecards for security guard staff.Onboarding & Compliance : Serve as the point of contact for all new hires and walk-in applicants. Collect necessary documentation (e.g., I.D. copies for Form I-9) and ensure new team members are prepared for their first day.Payroll Administration : Distribute and collect all payroll-related change paperwork (tax changes, direct deposits) and submit documents to the Human Resources Manager.Administrative Tracking : Maintain the daily Attendance Log and the employee Paid Time Off (PTO) log.Assist with various HR initiatives concerning the shop staff.3. Facilities & Safety Support
Serve as the primary point of contact for shop personnel inquiries.Maintain open communication to quickly relay information between the shop floor and management.Qualifications and Requirements
Required Skills
High School Diploma or Equivalent.Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook).Strong organizational skills and exceptional attention to detail.Effective written and verbal communication skills.Proven critical thinking and problem-solving abilities.Ability to maintain the highest level of confidentiality and adhere to company policy and HIPPA laws.Physical Requirements
