Will handle cost benefit analysis & yearly cost reporting, working closely with financial controls department for reporting and adhering to government regulations, entering requisitions daily for licenses and renewals The purpose of this classification is to perform administrative support functions involving processes for enhancing software licensing and compliance within the Information Technology (IT) Division. Duties include overseeing the purchase of all software licenses, tracking and analyzing purchased licenses, reviewing discovery data, and conducting research to assist with negotiating new software vendor license agreements and negotiating changes to existing agreements. Independent judgment is exercised within parameters defined by supervisor, and established policies, procedures, and accepted standards. Work is reviewed for compliance with desired objectives through observation and written reports. The following duties are normally performed by this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned. The most important and essential job function is dependability and includes the following : regular work attendance, working as a team member, functioning under intense time pressure, and the ability to work day, afternoon, night and rotating shifts, including weekends and holidays, at any Palm Beach County Sheriff’s Office location, according to agency needs.Software License Management :Enter requisitions for the purchase of all software licenses; ensure appropriate quantities and licensing models are purchased, determine contract requirements, ensure orders are placed and validate proper payment. Manage renewals to ensure they are processed in advance of their expiration.Collect information for budgeting, compliance, and inventory purposes.Evaluate agreements / quotes to calculate financial impact to support leadership decisions regarding purchases.Enter all software purchased and discovered into ITAM system.Evaluate agency’s licenses to ensure the quantities deployed align with the quantities and licensing models purchased.Work with Product Owners / Managers in negotiating license reductions / increases as necessary due to usage.Develop license templates / checklists, assess and participate in negotiating new software vendor license agreements and negotiating changes to existing agreements.Evaluate and recommend options to reduce licensing costs.Liaise with IT and business unit representatives to track of all software products deployed to ensure the agency has sufficient licenses and remains in compliance.
