DEPARTMENT OVERVIEW

Faculty Affairs and Academic Programs (FAAP) is home to systemwide academic programs and faculty initiatives that contribute to policy development and management of programs in support of thriving academic careers at the University of California. We provide faculty and students with opportunities to study and work in Washington, DC, Sacramento and internationally in over 40 countries around the world through the UC Center Sacramento and UC Washington Center, as well as UC Education Abroad Program. FAAP also houses the UC Press and California Digital Library which offer publication, media, and digital services available to the UC community as well as to California and to the world.

POSITION SUMMARY

The Project Policy Analyst provides comprehensive administrative leadership and project management support to the office of the Vice Provost, Faculty Affairs and Academic Programs. This role provides executive level analytical and planning support that ranges from managing and coordinating the Vice Provost's calendar, to project support advancing strategic priorities, committees, task forces and advisory groups, and internal and external communications. This role conducts complex analyses requiring knowledge of University administrative organizations, policies, procedures, and practices. Assumes responsibility for coordination of projects initiated by FAAP, provides project support, and analysis of results. Oversees the management of FAAP office operating procedures, file management and issue identification, assignment and coordination of provost and presidential correspondence requests. Takes initiative on projects and tasks. Uses discretion with confidential information and assures timely follow up and completion of projects. This is a hybrid position with three (3) days onsite in Oakland, CA. Responsibilities :

• 30% Directly supports and maintains Vice Provost's calendar, analyzing requests to assess priorities for meeting scheduling; prepares and submits travel requests and reimbursements
• 25% Project management and coordination : Assists in project management activities by contributing to the development, implementation, and monitoring of project plans and deliverables. Coordinates project planning and collaboration with academic program and immediate office staff, facilitating effective teamwork and communication to achieve project goals. Coordinate relevant committees and advisory groups for FAAP projects / programs, including meeting agendas, logistics and note-taking, and other communications as needed. Develops, maintains, and manages a shared file management system to organize project documents and resources efficiently, ensuring accessibility and accuracy of information. Actively participates in discussions, meetings, and decision-making processes, documenting key discussions, decisions, and follow-up items accurately and comprehensively. Analyzes and reports results to Vice Provost, as needed; prepares and organizes information for use in discussions and meetings, ensuring that relevant data and materials are readily available and effectively utilized. Leads and / or staffs internal UCOP committees, task forces, and working groups
• 30% FAAP Operational Management : Work on a variety of ongoing and special ad hoc projects related to FAAP. Work with department leaders and the immediate office team to schedule meetings, send follow-up emails / calls to support programs and issue management. Manages correspondence requests. Ensures accuracy of and timely management of shared document storage system, including management of academic program advisory committees / boards / group rosters. Analyzes data and project needs to ensure internal FAAP project management system is maintained and up-to-date. Periodically reviews and updates FAAP websites. Serve as office manager to ensure the VP's office needs are met, e.g., supplies, equipment, etc.
• 10% Researches, monitors and analyzes UC policies for impact on the organization or initiative.
• 5% Researches and drafts complex proposals, reports, and briefings for Vice Provost. Establishes and maintains contacts internally and with external constituents for the collection and exchange of data.

This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range shows the growth potential for this position and the pay scale is the budgeted salary or hourly range that the University reasonably expects to pay for this position.
