Job Summary

We are seeking a detail-oriented and proactive Assistant Project Manager to support our project managers and field teams at Axis Hospitality Construction. This role is essential in ensuring seamless administrative operations, effective communication, and the smooth execution of day-to-day project details. While prior construction knowledge is not required, a curiosity and eagerness to learn will enable you to thrive in this fast-paced environment. The ideal candidate will be resourceful, organized, and capable of handling multiple priorities independently. This position offers a unique opportunity to learn the business from the ground up, gaining exposure to all aspects of construction project management and becoming a versatile "jack of all trades" in the field.

Key Responsibilities

• Provide comprehensive administrative support to project managers and field staff, including taking detailed meeting minutes, tracking deadlines, deliverables, Requests for Information (RFIs), and submittals.
• Source and procure materials required throughout the project lifecycle, ensuring timely availability and cost-effectiveness.
• Assist in preparing, reviewing, and executing contracts, purchase orders (POs), and change orders in collaboration with project managers.
• Collect and verify subcontractor documentation, such as W9 forms, Certificates of Insurance (COIs), and other required paperwork, prior to project commencement.
• Maintain organized digital project files and folders using cloud-based systems to ensure easy access and compliance.
• Update project trackers, generate reports, and develop efficient methods for monitoring multiple projects simultaneously.
• Coordinate travel arrangements and lodging for field teams to support on-site operations.
• Manage the coordination of rental equipment, small tools, and safety gear needed for projects.
• Collaborate with the accounting team to assist with billing, invoicing, and financial tracking.
