Volunteer Coordinator

Position Summary

The Volunteer Coordinator supports the mission of Bens Bells by creating a warm and welcoming environment for all volunteers. This position is focused on recruiting and retaining individual volunteers as well as cultivating relationships with schools, organizations, and businesses to provide the organization with a robust and engaged volunteer pool to assist in production, mural installation, event tabling, events, etc.

Responsibilities

  • Represent the mission of and story behind Bens Bells to the community
  • Serve as a first point of contact for volunteers, groups, and community service participants during studio hours
  • Respond to studio phone and voicemail messages / email messages (volunteers@bensbells.org)
  • Create and maintain CERVIS online registration forms for groups, community service, and Bens Bells events
  • Cultivate new and nurture existing group and individual volunteer relationships
  • Identify and pursue untapped business and corporate volunteer groups
  • Identify and attend off-site volunteer recruitment events and opportunities
  • Develop and implement volunteer retention strategies
  • Coordinate and secure volunteers for all events (including events for other departments such as retail, fundraising, etc.)
  • Manage the studio schedule of groups and individual volunteers
  • Manage court-ordered community service scheduling and documentation
  • Oversee To Go Box program, including responding to requests and scheduling pickup
  • Send monthly volunteer emails and targeted recruitment emails via CERVIS
  • Support studio assistants and remote studios with volunteer management via CERVIS
  • Provide any organizational reporting requested from CERVIS, maintain a good working knowledge of software, and clean data
  • Process group and individual volunteer donations and payments
  • Collaborate with the Education Manager to maintain up-to-date kindness education programming and translate programming into volunteer experiences
  • Provide the Marketing & Events Manager with social media content, including images of volunteer groups and stories that volunteers share about their experience with the organization
  • Support the Studio Manager and staff as needed

Essential Skills and Abilities

  • Strong administrative and organizational skills, including communication, data management, and scheduling oversight
  • Excellent people skills, including an ability to partner with a diverse team of staff and volunteers and maintain relationships
  • Flexible and able to manage shifting priorities; can work within an ambiguous, fast-moving environment
  • Familiarity and desire to continually improve volunteer experience and studio operations
  • Personal qualities of kindness, integrity, credibility, and commitment to the mission of Bens Bells
  • Qualifications

  • Volunteer management and retention experience preferred but not required
  • Background in non-profit or volunteer work preferred but not required
  • Bilingual skills preferred but not required
  • Must have a valid Arizona Drivers License with a clean driving record and reliable personal transportation
  • Must be able to lift 50+ pounds and work outdoors
  • This position requires full-time availability at 40 hours per week, including Saturdays, occasional Sundays, and evenings
  • This position is based at our Downtown location but requires occasional off-site shifts
