Under supervision of the Assistant Director of Enrollment Management and Instruction Support, the Instructional Assistant Program and Staffing Coordinator provides coordination and communications management for the Instructional Assistant (TA / Tutor / Reader / UGIA) Program in the School of Biological Sciences (~900 distinct assignments / year, ~2,000 applicants / year, supporting +1,000 course sections / year).

The position provides day-to-day management, project development and implementation, policy research, partner communications, special event planning and implementation, and the coordination of projects related to the school IA Program. This position will serve as the liaison with school and campus partners such as faculty, students, Division of Graduate Education and Postdoctoral Affairs (GEPA), Faculty adviser for IAs, local and campus HR teams, Teaching and Learning Commons, Summer Session office, and Deans offices.

This position will have regular interactions with and will operate as a liaison to student IAs, who will be recruited in multiple campaigns from across campus and within the school. Analyzes school IA resource allocation and recommends strategic improvements. Provides high level guidance to faculty and students related to recruitment, support and / university / school policies for the Instructional Assistant Program. Point of contact and administrator for all TA / Tutor / Reader appointments in BioSci,

Incumbent acts as lead resource and liaison with various campus entities on BioSci IA matters, including Labor Relations; formulating IA projections and providing detailed, complex fund modeling scenarios, especially those related to TA FTE; primary responsibility for ASE-related ESR transitions.

Additional duties include independent project initiation, planning, execution, monitoring, and reporting; participation in strategic planning, formulation of goals and objectives, and decision-making in the unit.

Assists supervisor with data analytics and reporting as needed for the SIS unit. Assists with special projects or events for the SIS unit as required. Perform other duties as assigned.

QUALIFICATIONS

Ability in problem identification and reasoning. Proven resourcefulness in independently finding appropriate solutions to complex problems, operational and administrative, and use of initiative in implementing solutions or making recommendations. Ability to anticipate problems and take necessary actions to mitigate potential negative effects.

Interpersonal skills. Demonstrated interpersonal and oral communication skills including the ability to communicate clearly and effectively in a positive manner to a diverse and demanding group of people including faculty, students, staff, senior leadership, and campus administrators.

Ability to multi-task; verbal and written communication skills. Demonstrated ability to prioritize workload, meet deadlines, and work independently with frequent interruptions under constantly changing priorities in a fast-paced operation while exhibiting extreme attention to detail and high degree of accuracy at all times.

Knowledge of University processes and procedures. Demonstrated knowledge / work experience with higher education / administration, including : educational philosophies / methods, instructional programs, curriculum development, instructional technology, degree requirements, admissions processes, outreach, and student financial support for both undergraduate and graduate student populations.

Basic knowledge of student immigration and visa processes pertaining to international students and scholars.

Knowledge of University-specific computer application programs and pertinent databases. Proficient in the use of software applications necessary in administrative work, including database to retrieve current and historical information to compile reports and briefings, spreadsheets, and graphics programs and the ability to implement new systems to increase productivity, using email, word processing, spreadsheet, and calendar applications. Strong knowledge of ISIS, Blink and other applications, programs, databases and electronic tools for UC San Diego staff, UC Path, or other similar other computer systems including employment and registration processes.

Basic knowledge of employment law. In-depth knowledge of university, preferably UC and UC San Diego, policies and procedures pertaining to student academic personnel with demonstrated ability to interpret and articulate personnel policy regulations and financial support guidelines to staff, students, and faculty.

Knowledge of advising and counseling techniques.

Multicultural competencies; ability to work with diverse populations.

Skills in service orientation, organization, active listening, and critical thinking. Demonstrated high degree of accuracy, integrity, dependability, flexibility, use of sound judgment, diplomacy and resourcefulness, with a strong work ethic. Demonstrated ability to use tact, diplomacy, discretion and to maintain confidentiality in all matters.

Understanding of University rules and regulations. Demonstrated ability to interpret policies, set logical priorities, make decisions independently, work with minimal directions, and negotiate conflicts.

Skill to operate a personal computer and demonstrated knowledge of databases, general computer applications, and programs including word processing and spreadsheets. Willingness and ability to update and increase computer skills and knowledge as needed.

Willingness and demonstrated ability to embrace and consistently uphold the principles of community for a collaborative work environment.

Skill to be an active participant in divisional and campus wide computing projects such as ESR, ASES, UC Path, etc.

Experience working with a union environment and / or knowledge of various bargaining units at UC San Diego.
