Job Description : DIVISION : Academic

UNIT : DiMenna-Nyselius Library

UNUSUAL WORK CONDITIONS : Physical requirements : mobility; must be able to lift materials off shelf. Requires some evening and weekend hours.

EDUCATION :  Bachelor’s Degree required.

ESSENTIAL EXPERIENCE : Two years previous library or related experience. Familiarity with computer systems required. Attention to detail and accuracy important. Written and oral communication skills a plus. Ability to work independently or in a team; knows when to ask questions. Proficient in handling multiple workflows and projects. Experience with digital asset management systems and data entry and / or metadata creation preferred.

REPORTS TO : University Archivist and Special Collections Librarian

ESSENTIAL FUNCTIONS :

Assists with the processing of physical archival collections. This includes :

demonstrating ability to follow best practices for handling rare and archival materials,

rehousing of items, organizing, and labelling folders,

using spreadsheets or other software programs to create accession sheets, indexes and inventories.

Supports digitization projects. This includes :

scanning newspapers, magazines, documents or photographs,

transferring VHS or DVD to digital files,

using software systems such as Adobe Acrobat Pro to process text documents, by cropping, OCRing, and using visual enhancement tools if necessary,

renaming and / or reformatting of files, and uploading digital materials to a shared file system,

creating metadata spreadsheets for batch uploads,

assisting in the boxing, organizing, and rehousing of outsourced materials; creating inventories of materials to be digitized.

Manages the processing workflow for the ingest of archival material into DigitalCommons. This includes :

renaming and / or reformatting of files, and / or coordinating the flow of information between different users using a shared file system,

providing data clean up to address file and metadata discrepancies, including missing pages, missing information, naming structure and other issues as they arise,

creating and uploading manual entries into DigitalCommons in accordance with established metadata structures and protocols,

creating extended metadata spreadsheets for batch uploads of digital material,

communicating regularly with the Archives staff and other members of the Tech Services team in regards to any questions, challenges or issues related to DigitalCommons.

Assists in the daily activities of the Archives and Special Collections. This includes :

assisting with exhibits and displays, special projects, environmental mitigation, classroom setup and takedown, and reshelving of materials.

Performs such other duties, responsibilities, and activities as required by supervisor and as departmental / University needs indicate .
