Closing Coordinator

The Closing Coordinator will perform the duties of a closing / legal coordinator and will be assigned a portfolio of multiple associations. Maintain individual and accurate financial records for each association. Maintain a working relationship with the association manager, association team, association board of directors, owners and legal counsel.

Duties include but are not limited to :

  • Closings

1. Maintain community archives association files current including but not limited to :

  • 6D / Closing letter template
  • Governing Docs
  • Questionnaires
  • Budgets- Financials
  • Process requests in a timely fashion for closing items ordered
  • Log notes of sales requests in Caliber
  • Units in collections must be confirmed with legal team including if there are additional legal fees to post.
  • Email Accounting Coordinator, Administrator, Manager copies of 6d / Cert of no lien and then closing checks and docs upon receipt.
  • Set up new clients assigned to coordinator in Community Achieves.
  • Contact manager to complete questionnaire for new clients.
  • Performs miscellaneous job-related duties as assigned.
  • Collections of association delinquent accounts.
  • Produce monthly delinquency owner statements based on the grace period and late / interest fees of each association.
  • Produce first and second collection letters to delinquency owner based on the collection policy.
  • Produce monthly reports on delinquent owners' status.
  • Communicate with unit owners who respond to statements and / or letters.
  • Prepare repayment agreements with unit owners per the collection policy.
  • Enter notes in software regarding any responses from unit owners.
  • Legal Collections
  • Upon request of the manager / accounting coordinator submit delinquent accounts to legal for further collection.

    Submission will include copies of the following :

  • Owner Ledger
  • EMG collections letters
  • Additional documents requested by the legal team.
  • Liaison with the legal team accounting team and manager.
  • Provide updates to legal team, accounting team, manager, and BOD as necessary.
  • Record legal actions in Caliber. (Note : Feniger and Uliasz has ability to update files in Caliber.)
  • Attend court hearings if requested
  • Other collection dues as requested
  • Requirements

  • Skill in organizing resources and establishing priorities.
  • Ability to analyze and interpret the needs of the Property Managers, Boards, Owners, and vendors and offer appropriate solutions.
  • Knowledge of accounting principles, procedures, and standards, as applied to Condominium Associations.
  • Ability to analyze and interpret financial data and prepare financial reports, statements.
  • Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
