Job Summary
We are seeking a highly organized and customer-focused Customer Facilities Coordinator to join our team. This role is responsible for managing all aspects of designated customer accounts, ensuring that work orders are completed on time and contractual obligations are met. As the primary point of contact for assigned customers, you will handle daily communications, provide status updates, resolve escalations, and manage billing, AP, and service provider issues. This position requires strong multitasking skills, excellent communication, and the ability to work in a fast-paced environment.
Essential Duties and Responsibilities
- Serve as the main point of contact for designated National / Supplier Management Accounts.
- Conduct telephonic and electronic follow-up on open work orders to ensure timely completion.
- Provide updates to customers regarding ongoing work, handling escalations as needed.
- Perform administrative support including scheduling, vendor management, reporting, purchase order coordination, and file maintenance.
- Coordinate with subcontractors, vendors, and internal departments to ensure seamless service delivery.
- Respond to facility maintenance and repair requests, including HVAC, electrical, plumbing, IT equipment, and security components.
- Prepare and maintain accurate reports, records, and documentation.
- Participate in budget and forecasting activities, identifying cost-reduction opportunities.
- Conduct daily / weekly reporting on open work orders for supervisor review.
- Attend weekly staff meetings and safety training sessions.
- Maintain effective communication with employees, management, contractors, and customers.
- Ensure compliance with safety guidelines and company policies.
Qualifications
Associates Degree or equivalent experience required.Minimum 2 years' experience in facilities maintenance, property management, or customer service (5-10 years preferred).Experience managing service delivery for trades labor (Electrical, HVAC, Plumbing, Roofing) preferred.Bilingual (English / Spanish) strongly preferred.Proficiency in Microsoft Windows applications, especially Excel and Word.Ability to type a minimum of 50 WPM with strong writing skills.Professional, friendly, and customer service-oriented demeanor.Strong critical thinking and problem-solving skills.Ability to prioritize, work under pressure, and make sound decisions with limited input.Excellent verbal and written communication skills across all levels of staff and management.Punctual, reliable, and committed to high work ethic and performance.Pay Details : $20.00 to $23.00 per hour
