Position Overview We are seeking a highly skilled and dependable Senior Administrative Assistant to support our busy personal injury practice. This role is integral to the daily operations of the firm and is relied upon heavily by attorneys, paralegals, and administrative staff. The ideal candidate will be organized, proactive, and capable of managing a high volume of responsibilities with accuracy and professionalism.
Key Responsibilities
Administrative & Operational Support
Serve as a primary administrative point of contact for the legal team, ensuring consistent communication across attorneys, paralegals, and support staff.
Maintain and organize new client files, including intake processing, document collection, and initial case setup.
Prepare and manage distribution sheets, settlement documentation, and other case-related financial records.
Perform general office and administrative functions such as scheduling, correspondence, file maintenance, and data entry.
Assist with interdepartmental coordination to facilitate smooth workflow and timely completion of tasks.
Accounting & Financial Tasks
Support basic accounting functions, including invoice processing, check requests, settlement disbursement preparation, and expense tracking.
Ensure accurate and timely recording of financial data related to personal injury case management.
Communicate with vendors, clients, and internal staff regarding billing and payment matters as needed.
Technology & Document Management
Draft, format, and edit documents, spreadsheets, and presentations using Microsoft Word, Excel, PowerPoint, Google Docs, and firm-related software systems.
Manage Outlook calendars, email communications, and scheduling needs for multiple team members.
Utilize case management software and other digital tools to maintain accurate records, track case progress, and support team workflows.
Qualifications
3–5+ years of administrative experience preferably in a law firm and preferably in personal injury or litigation.
Strong proficiency with Microsoft Office (Excel, Word, PowerPoint, Outlook) and Google Workspace (Docs, Sheets).
Experience with law firm case management or accounting software is a plus.
Excellent written and verbal communication skills.
Exceptional organizational skills, attention to detail, and ability to manage competing deadlines.
Proven ability to work collaboratively and support multiple team members in a fast-paced environment.
Demonstrated discretion and professionalism in handling confidential information.
