Summary of Position :

The Texas Operations Assistant Manager is responsible for overseeing the maintenance of production equipment, managing equipment vendors, supporting building maintenance and security, overseeing the organization of the operations, as well as performing the managerial duties in the absences of the Operations Manager and / or Operations Supervisors.

ESSENTIAL DUTIES AND RESPONSIBILITIES :

Oversee Maintenance of Production Equipment and Equipment Vendors :

  • Oversees all aspects of the maintenance of the production equipment; keeps detailed inventory of all production equipment; ensures regular monthly preventative maintenance is performed by vendors; ensures production staff are trained to make service calls and maintains service logs for all equipment; informs the Operations VP and Operations Manager of the condition of all equipment and whether repairs and / or replacements will be required; ensures all production equipment is operating productively and efficiently to meet all service level commitments.
  • Oversees all aspects of the relationships with local equipment vendors and service providers; coordinates monthly discussion meetings with vendors and company staff; identifies monthly agenda items for discussion; coordinates monthly maintenance schedules; maintains internal service logs; ensures that all repairs performed by vendors are done to specifications and completed in a timely manner; ensures vendors maintain a high standard of service care and responsiveness; reviews and resolves billing discrepancies; keeps vendor contact list updated for escalation and other purposes; manages terms of a service contracts that require changes, the TXAM shall present recommended changes to the Operations Manager for review and approval.
  • Provides oversight for compliance with facility Maintenance and security protocols. Ensures tidiness, orderliness, and cleanliness of all rooms and offices including the lunchroom, restrooms, warehouse, production floor, the front lawn and building exterior; notifies the building landlord of any issues with the building and coordinates with the FM Department to schedule building repairs; ensures building amenities are in proper working condition including, the plumbing system, HVAC, electrical system, and waste management, refuse disposal, and recycling services; manages the janitorial and other appropriate service providers to ensure all offices, rooms, and common areas are regularly cleaned and sanitary for employee use.
  • Partners with Corporate Security for local oversight of all aspects of building security; ensures the building is properly secured during and after regular shift hours; ensures all entrances and exits are up to code and secured; ensures emergency response and disaster recovery SOP’s are updated, practiced, and reviewed on an annual basis.

Reporting and Department Analytics :

  • Administrative Oversight of Department : Ensures that the Operations Department and all its subdivisions, fulfill and accomplish their respective missions and business objectives; completes and expedites SLA on-time and free of errors.
  • Management of Department Personnel : For Direct Reporting Staff and cases of absence of the Operations Manager, the Assistant Operations Manager oversees all production site personnel; establishes department policies; defines and enforces Standard Operating Procedures (SOP) for all department processes and procedures, hires and terminates staff; performs annual staff performance reviews; reviews and validates accuracy of time cards; maintains and updates employee salary and salary changes; implements disciplinary action; reviews and approves vacation, leave of absence requests, overtime and comp time; ensures compliance with all local, state and federal employment regulations and any other matters pertaining to personnel management; creates a supportive and collaborative work environment.
  • Communication : Conducts weekly staff meetings with each subdivision supervisor to ensure effective communication both vertically and horizontally across the organization; monitors the status of production jobs; reviews and benchmarks monthly and quarterly production statistics; balances and distributes workload; resolves any issues.
  • Quality Control InfoCare Administration : Reviews and monitors all CAREports (CR) attributed to the Operation site are being managed; ensures all assigned CR’s have been addressed, resolved, and closed in a timely manner; collaborates with other department managers to provide expedited Root Cause Analysis (RCA) to clients for Level 3 CR’s; ensures temporary and permanent solutions are identified and implemented by appropriate departments; reviews SOP errors; administers disciplinary actions as appropriate to staff responsible for those errors.
  • Oversees interdepartmental coordination required for monthly production, special projects, internal projects, turnover meetings, status meetings, new implementations, new applications, tax planning, and other projects as needed; requests resources from other departments as well as allocate Operations Department resources for such projects and includes cross department team building projects to improve communication, collaboration, and mutual respect
  • Additional Task Requirements :

  • Assumes managerial and supervisory duties when the Operations Manager or Operations Supervisors are unavailable to due time off and / or extended leave of absences.
  • Assigned other duties and responsibilities for special projects as required and requested by the Texas Operations Manager, Operations Vice President or Executive Board.

    Knowledge, Experience and Skill Requirements :

    Education and Development :

    Bachelor’s Degree (preferred) or 5 years’ experience in a similar role

    Experience and Skills :

  • A minimum of five (5) years of experience in warehouse and inventory management, building facilities management and heavy equipment maintenance or equivalent
  • A minimum of three (3) years of managerial experience in a production environment or transactional print / direct marketing or related industry
  • Strong organizational skills and highly detail oriented
  • Demonstrated leadership and project management skills
  • Ability to multi-task and be responsive in demanding environment
  • Ability to motivate, develop staff and provide positive direction / problem resolution
  • Computer Skills :

  • Intermediate skills with databases
  • Strong working knowledge with MS Office; primarily with Outlook and Excel
  • Ability to adapt quickly to new technology
  • Language Skills :

  • Strong written skills across multiple input media formats, with expedited response accountability
  • Excellent verbal communication skills in a clear, concise manner
  • Physical Requirements :

  • Multi-limb and eye-hand coordination
  • Able to stand, bend, reach, stoop and lift boxes up to 50 lbs.
  • Able to lift and move boxes and materials 50% of work day
  • Able to walk and stand for a full work day
  • Able to work in a fast pace environment / multi-tasking with organization and efficiency
  • Able to work overtime as needed
  • Possesses a valid Texas State Driver’s License and is auto-insurable
