In this role, the Receptionist provides support to office staff and greets / check-ins drivers promptly and courteously. Assists with answering calls, scheduling, and following up with orders. The Receptionist will also offer help to CSR staff with their daily functions.
- Answer and direct phone calls in a polite and friendly manner
- Welcome visitors in a warm and friendly manner, and answer any questions from visitors
- Maintain reception area and all common areas in a clean and tidy manner at all times
- Operate standard office equipment on a regular basis, including a fax machine, a copy machine, and a computer
- Receive deliveries; sort and distribute incoming mail
- Take inventory of supplies and restock as needed
- Maintain the general office filing system
- Processing Client Orders or Receipts, Order Confirmations, Carrier Communications, and Handling General Account Records.
- Responsible for providing the departmental support functions on the Client as assigned.
- Utilize the facility Information Systems to perform tasks related to the Client account, such as but not limited to : order entry, container tracing, availability updates, updating billable and exception notes, delivery coordination, and confirmations
- Ensuring accurate order entry and release of the same information to staff as needed. Answer customer questions.
- Keep records of customer interactions or transactions, record details of inquiries, complaints, or comments, and actions taken.
- Contact customers to respond to inquiries or notify them of their order status or any adjustments.
- Assist in accurately tracking Client activities and completing daily spreadsheets.
- Confer with customers and / or port terminals by telephone, email, or in-person to provide information about products and services, shipping and receiving, taking orders, or obtaining details of the same.
