Reporting directly to the PPM General Manager the successful candidate will play a key role in advancing the divisions objectives by delivering timely efficient and professional administrative assistance to the executive team including the Vice President and General Managers. What youll be doing :
- The successful candidate will possess a strong team orientation with the ability to support projects and perform a wide range of administrative services including compiling summarizing and visualizing information.
- Provide effective overall administrative support for the division team Vice Presidents and Group Managers. Including domestic and international travel arrangements daily meeting schedule coordination meeting and conference planning hotel and travel reservation coordination budgets and expense reports.
- Coordinate internal and external meetings that occur at headquarters with different internal and external groups and VIP visitors. Interact with executive and non-executive level positions across the business partners.
- Partner with executive-level positions to proactively and collaboratively plan and manage complex and ever-changing executive calendars.
- Provide cost-effective office assistance including : securing business supplies cost / invoicing travel coordination building maintenance calls budget accounting meeting coordination document making and presentation support etc.
- Special Projects. Special support requiring basic knowledge of Excel PowerPoint etc. to compile summarize and visualize information.
- Division responsibilities include new team member onboarding activities supporting Analysts core jobs and planning & executing D&I and Team Building events.
What you bring :
Minimum 2 years overall administrative experience; internal or external.Minimum 1-year Executive Assistant support.Added bonus if you have :
Strong planning analytical organization and communication skills.Ability to collaborate and problem-solve with internal and external stakeholders and business partners.Ability to evaluate implications and impacts of alternatives identify and implement appropriate solutions and communicate those options and solutions.General office skills such as basic computer applications (MS Excel Word PowerPoint SharePoint & Outlook) and equipment filing and bookkeeping.Excellent customer service.Experience in making International travel arrangements.Benefits :
