Position Summary

This role reports to the Program Operations Manager. The Operations Coordinator supports the Operations Team in implementing and executing all IFSI programming and customer service across the organization. Serving as the first point of contact for our community this position responds to customer inquiries guides participants toward appropriate programs and resources and assists with troubleshooting account issues.

Additionally the role provides key operational and administrative support to meet the needs of a rapidly growing community seeking access to IFSIs programs. The coordinator will engage in frequent and sensitive written and verbal interactions with this community and IFSIs staff handling all matters with professionalism empathy and efficiency. IFSI is managed as a distributed team that uses technology and regular in-person gatherings to stay connected. We are seeking someone who is comfortable with and skilled in remote work self-leadership and collaboration.

Key Responsibilities

  • Respond to general inquiries via email or phone via help desk tools and technologies (currently HubSpot Service Hub and Dialpad) using templates and articles that may need development editing and customization.
  • Handle inquiries from training members and the public by email and phone.
  • Assist with programmatic planning including list management information sharing record requests and documentation development.
  • Create edit proofread summarize and disseminate a variety of professional documents such as contracts policies and procedures outlines lists brochures spreadsheets emails webpages and presentations.
  • Provide back-up support for Zoom Tech services for and during trainings and events including staying current with Zoom updates and procedures performing as a Zoom Tech once a month filling in for absent or tardy scheduled Zoom Techs receiving check-in calls and troubleshooting.
  • Other duties as assigned.

Role Requirements

  • 2 -5 years of relevant experience administrative experience handling complex programming preferred
  • Bachelors degree
  • Exceptional organizational time-management and follow-through skills
  • Skilled at communicating kindly clearly and professionally in written and spoken English
  • High level of sensitivity with strong interpersonal and customer care skills
  • Team player who can work both independently and collaboratively
  • Strong desire to do meaningful work that creates positive change in the world
  • Highly organized strong communicator and DEI advocate
  • Ability to prioritize problem -solve and meet deadlines
  • Knowledge of MS Office products (Word Excel Outlook)
  • Proficient at hosting Zoom meetings
