As the Office Coordinator you will provide administrative and operational support to the Office Manager C-Suite executives and Employee Engagement team. You will assist in office management event coordination onboarding facilities support and vendor relations to ensure efficient office operations and a positive employee experience.

What You Will Do :

  • Serve as backup to the Office Manager and provide support to C-Suite executives as needed.
  • Assist with office records invoices receipts and budget tracking; enter receipts into Coupa.
  • Maintain office and breakroom supplies; coordinate weekly snack orders within budget.
  • Support office expense reporting presentations and administrative documentation.
  • Run office errands and assist with courier and mailroom support as needed.
  • Partner with HR on new hire onboarding : seating charts employee placards welcome emails tours and introductions.
  • Supports termination processes by collecting equipment and badges.
  • Maintain accurate Ops & Admin employee lists and databases.
  • Serve as a key member of the Employee Engagement team helping plan and execute office and off-site events.
  • Coordinate logistics for meetings catering and food deliveries ensuring proper food safety and creative presentation.
  • Assist with setup breakdown announcements music and guest management during events.
  • Support large company events (e.g. Roadshows Toy Fair Intern programs) occasionally on weekends.
  • Collaborate with other offices for group events and communications.
  • Assist with booking and managing conference rooms showrooms and off-site event spaces.
  • Work with Facilities to process vendor applications secure approvals and manage building-related needs.
  • Oversee Envoy guest system operations and guest badge management in coordination with Security.
  • Monitor reception area; greet visitors issue badges and assist with NDAs or visitor forms.
  • Partner with Security to maintain a safe office environment and manage employee access.
  • Take meeting minutes and provide updates to the Office Manager and Employee Engagement team.
  • Maintain office calendars spreadsheets and visitor records.
  • Create signage and event materials in coordination with Creative Services.
  • Support temporary staff training and coordination.
  • Assist with office cleanups toy donations and inventory tracking.
  • Ensure visitors are properly registered in Envoy and cross-checked against the Weekly Visitor Sheet.

What We Are Looking For :

  • High school diploma or GED
  • 2 years of experience in office coordination customer service or other relevant fields
  • At least 2 years admin admin-related working experience.
  • Good command of Microsoft Office (Word Excel).
  • Excellent communication skills.
  • Must be outgoing and friendly.
  • Must have excellent time management. Self-starter with the ability to work in a fast-paced environment and be able to effectively handle shifting priorities.

    What we offer :

    At Jazwares we believe in providing our employees with comprehensive and competitive benefits that support their well-being and overall satisfaction. The hourly range for this position is $22.56 - $26.19 ph. The base hourly rate may vary based on experience role tenure performance industry and location. Eligibility for the annual performance incentive may apply. Jazwares is a multi-state employer so the salary range may not apply to other states.
