Construction Document Analyst

The Construction Document Analyst plays a critical role in managing and maintaining project documentation systems and workflows within the construction project lifecycle. This position is responsible for ensuring the accuracy, organization, version control, and timely distribution of construction-related documents across internal teams and external stakeholders. Operating with a high degree of independence, the Construction Document Analyst collaborates closely with project managers, engineers, contractors, and field personnel to maintain compliance with company standards and project-specific requirements. This role also contributes to process improvements, supports automation initiatives, and ensures proper documentation practices throughout each project phasefrom preconstruction through closeout.

Position Responsibilities

  • Maintain project documentation systems including drawings, submittals, RFIs, specifications, meeting minutes, permits, and change documents.
  • Ensure documents are reviewed, approved, and distributed in accordance with established workflows, deadlines, and contract terms.
  • Apply document naming conventions, version control protocols, and metadata standards to ensure traceability and consistency.
  • Utilize and maintain document control platforms (e.g., SharePoint, Procore, Aconex, Autodesk Construction Cloud) to ensure accurate, timely document storage and access.
  • Monitor document workflows, address issues with routing or approvals, and provide first-line support to team members.
  • Assist with the configuration of folder structures, permissions, and templates for project setup.
  • Perform routine quality checks to ensure files are accurate, complete, and compliant with internal procedures and project-specific documentation standards.
  • Track outstanding documentation and follow up with responsible parties to avoid delays or compliance issues.
  • Support audit readiness and participate in documentation reviews for project milestones, QA / QC, or client turnover.
  • Work closely with project managers, engineers, designers, and subcontractors to ensure alignment on document workflows and project deliverables.
  • Coordinate and support the implementation of solutionsincluding processes, AI, and analyticsand ensure they effectively meet business needs.
  • Facilitate communication and file sharing among distributed teams, both in-office and on-site.
  • Support the preparation and organization of closeout documentation and record packages for client turnover.
  • Identify and suggest enhancements to documentation workflows, system usability, or naming conventions to improve efficiency.
  • Coordinate the development of integrated reports and dashboards using tools such as Amazon QuickSight, Power BI, Looker Studio, and Excel.
  • Participate in pilot testing or rollout of new document control tools or features.
  • Other duties as assigned.

Position Qualifications

  • Bachelor's degree in Construction Management, Business Administration, Information Systems, or a related field preferred; equivalent experience accepted.
  • 5+ years of document control experience in construction, engineering, or architecture environments.
  • Strong understanding of construction project documentation, including shop drawings, specifications, submittals, RFIs, and change documentation.
  • Proficiency with the following software preferred :
  • 1. Microsoft Office 365 (Word, Excel, PowerPoint, Visio).
  • 2. Enterprise content management systems and document management platforms (OpenText, SharePoint).
  • 3. Data visualization & reporting tools (Power BI, Looker Studio, Amazon QuickSight).
  • 4. Collaboration and project management tools (Miro, Asana, Trello, Notion).
  • 5. ERP and accounting systems (SAP, QuickBooks).
  • 6. Requirements and knowledge management tools (Jira, Confluence).
  • 7. Process Modeling : BPMN, Visio.
  • Familiarity with project lifecycles from design through construction and turnover.
  • Understanding of metadata, file versioning, and document audit trails.
  • Excellent attention to detail and ability to manage multiple deadlines across active projects.
  • Effective communication skills, with the ability to work cross-functionally and respond promptly to documentation requests.
  • 91,400 - $107,400 a year

    The salary range for this position is $91,400 - $107,000. A hired employee will be placed within this salary range based on a variety of legitimate business reasons, including but not limited to the individual's scope of relevant experience and geographic location.

    Additional Requirements

    Physical : Standing or sitting for long periods; must be able to lift up to 15 pounds at times and spend extended hours in front of a computer screen. Cognitive : Problem-solving, written, and verbal communication skills; computer and software skills; and ability to read and interpret text online or in printed form.
