Administrative Assistant
We are currently seeking an experienced Administrative Assistant to manage the front desk for our Philadelphia, PA office. In this role, you will work as part of an administrative team responsible for performing a wide variety of diverse, administrative tasks to provide a high level of support for our professional consultants and corporate staff. Qualified candidates who are selected to participate in our screening process for this role will be asked to take an editorial assessment via Microsoft Word prior to a potential formal interview.
You will be responsible for :
- General Office Support :
- Front Desk Position, providing front desk coverage, including greeting visitors, receiving and delivering packages, and phone coverage
- Coordinating onsite meetings for internal and external client meetings, including setting up web conference systems, room setup / clean-up
- Catering for all office events and meetings
- Create and maintain visually engaging Office Update slide presentations using Canva (or similar tools), ensuring clear communication of departmental updates, initiatives, and other activities.
- Contributing to the in-office culture through event coordination and planning of employee celebrations, holiday parties, etc.
- Overseeing the readiness of the office : stocking kitchen and ordering supplies as needed; ensuring conference rooms are client-ready; stocking and preparing copy room for daily use
- Assisting Human Resources with local candidate interview scheduling and support
- Consultant / Project Support :
- Setting up new projects in our electronic system
- Running project conflict checks
- Drafting retention letters and statements of work
- Ensuring all projects are set up accurately and work products comply with corporate policy
- Editing documents, including formatting, grammar / spelling, general content review, and sometimes editing large reports
- Arranging travel for consultants, as needed
- Preparing and processing expenses, as needed
- Assisting with Purchasing, as needed
- Assisting consultants with ad-hoc requests
You will have the following skills and qualifications :
Bachelor's Degree (preferred) or any higher education diploma (required)Minimum 3 years' experience providing administrative support to a teamStrong Front Desk experience and professional polish with a welcoming and can-do attitudeA creative side that can be used to bring fun and innovative ideas to the office cultureExperience working in a professional services firm or law firm is a plusHigh level of attention to detail and the ability to manage several tasks simultaneouslyPrior experience with running conflict checks is a plusWorking experience with Vision / VantagePoint (Deltek) is a plusWorking experience and knowledge of Microsoft Office, including Word, Excel, PowerPoint, Outlook, TeamsStrong editorial skillsCommitted to quality work product both for independent tasks and team projectsDemonstrated self-starter who is dependable and shows initiativeMotivated and committed to learning new systems, processes, and skillsAbility to multi-task, work under critical time deadlines, re-evaluate priorities, and interact with all levels of professional staffExposure to sensitive information will necessitate considerable use of tact, diplomacy, discretion, and judgmentMust be able to lift, push, and pull a minimum of 20 lbs.Licensed Notary is a plus
