Job Title : Human Resource Documentation Specialist

Job Description

We are seeking a dedicated Human Resource Documentation Specialist to assist in the manual auditing of approximately 8,400 I-9 paper records and their subsequent entry into Workday. This role is crucial in ensuring the accurate, compliant completion, verification, and archival of Form I-9 documents for all new hires and rehires. You will support HR operations by maintaining employment eligibility records, coordinating with onboarding teams, and ensuring adherence to federal and organizational standards.

Responsibilities

  • Accurately complete Section 1 and Section 2 of Form I-9 for new hires and rehires.
  • Verify identity and employment authorization documents in accordance with USCIS guidelines.
  • Ensure timely completion of I-9s, especially for remote hires and bench pay scenarios.
  • Upload and archive scanned I-9 forms into HR systems such as LawLogix or I-9 Advantage.
  • Monitor I-9 records for accuracy, completeness, and expiration dates.
  • Escalate discrepancies or missing documentation to HR leadership.
  • Maintain employee profiles with correct employment status, location, and affiliate assignments.
  • Track and report progress of I-9 archival and verification tasks.
  • Support audits and compliance reviews by ensuring documentation is readily accessible.
  • Assist with onboarding documentation and coordination with recruiters and hiring managers.
  • Maintain confidentiality and security of sensitive employee information.
  • Provide clerical support including database updates, file maintenance, and report management.

Essential Skills

  • Strong attention to detail and organizational skills.
  • 2+ years familiarity with Form I-9 requirements and employment eligibility verification.
  • 2+ years proficiency in HRIS systems and document management platforms (., LawLogix, I-9 Advantage).
  • Ability to handle confidential information with discretion.
  • Additional Skills & Qualifications

  • Experience in high-volume onboarding environments.
  • Knowledge of visa documentation and employment authorization documents.
  • Bilingual capabilities may be required depending on location.
  • Work Environment

    You will work within a supportive HR team of 7 people. There is an opportunity for a hybrid schedule following a 4-6 week training period. The role requires proficiency in HRIS systems and document management platforms, and you will be integral in maintaining the integrity of sensitive employee information.

    This is a Contract position based out of Chandler, Arizona.

    Pay and Benefits

    The pay range for this position is $32.00 - $38.00 / hr.
