Position Summary : The Project Administrator provides high-level administrative support across all Marsell business lines : including Mental Health Services, Foster Family Services, Community Services, and Education Services. As part of the Business Operations Team, this role is critical to ensuring effective documentation and standardization. The Administrative prepares reports and internal communications and serves as a central point of contact for both internal teams and external partners to support the overall efficiency and effectiveness of Marsell’s operations.

Essential Duties and Responsibilities : To perform successfully in this role, the Project Administrator must demonstrate a high level of professionalism, organizational acumen, and proactive problem-solving. Core responsibilities include, but are not limited to :

  • Business Lines Support : Lead administrative support for complex projects, including maintaining project trackers, managing digital databases, and preparing high-quality reports and executive-level presentations.
  • Cross-Functional Liaison : Serve as a trusted liaison between internal departments and leadership teams, to ensure seamless communication, coordination, and follow-through.
  • Data and Document Management : Create, maintain, and organize digital and physical records, ensuring accuracy, version control, and compliance with company standards and privacy requirements.
  • Data and Document Preparation : Draft, edit, and format internal and external communications, detailed reports, board materials, and presentation decks with a high degree of accuracy and professionalism.
  • Technology Proficiency : Utilize a wide range of applications (e.g., Microsoft 365, project management tools, and cloud-based systems).
  • Compliance and Procedure Adherence : Ensure all administrative practices align with company policies, operational procedures, and quality standards, exercising sound judgment and discretion in handling confidential information.
  • Continuous Improvement : Identify opportunities to streamline administrative workflows, automate routine tasks, and enhance the efficiency of operational support.
  • Other Duties as Assigned : Take initiative to support evolving business needs and contribute to a culture of service excellence and operational excellence.

    Education / Experience : An associate’s degree or certification in office administration, business administration, or a related field; 7+ years of experience in administrative roles.

    Language Ability : Read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Write routine reports and correspondence. Speak effectively before groups of customers or employees.

    Mathematical Ability : Add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Compute rate, ratio and percent, and draw and interpret bar graphs.

    Reasoning Ability : Apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Deal with problems involving several concrete variables in standardized situations.

    Computer Skills :

  • Proficiency in Microsoft Office; with emphasis on Excel, Word, and PowerPoint.
