Executive Assistant and Office Manager (Part-Time)

Location : Austin, TX (near Bee Cave; on-site, with some flexibility)

We are a specialized investment firm focused on the biotechnology sector. Our team combines deep scientific and financial expertise to identify and invest in transformative healthcare opportunities. We are seeking a highly organized and proactive Part-Time Executive Assistant and Office Manager to support our team and ensure smooth day-to-day operations. This role offers a growth path to take on some Investor Relations (IR) responsibilities and, over time, expand to a full-time position.

Responsibilities

  • Calendar & Meeting Coordination : Manage and optimize schedules for the partner, including arranging internal / external meetings, calls, and travel as needed
  • Client & Counterparty Hosting : Serve as host for in-office meetings; greet and engage clients / LPs, portfolio companies, bankers, lawyers, and other guests; coordinate room set-up, AV, catering, and a polished environment
  • External Relations : Act as a professional point of contact for clients and companies; handle correspondence, meeting follow-ups, and light relationship coordination (e.g., NDAs, bios, logistics)
  • Event Planning & Offsites : Plan and execute investor / LP meetings, team events, board dinners, and corporate retreats / offsites (venues, travel / hotels / transportation, budgets, vendor management, agendas, and on-site execution)
  • Investor Relations Support (Growth Opportunity) : Maintain / update CRM and contact lists; coordinate LP outreach and meeting logistics; prepare meeting briefs; support quarterly updates and investor communications; assist with diligence / data room organization and fundraising / event logistics. Training provided
  • Office Coordination : Oversee general office upkeep, supplies, and vendor coordination to maintain a professional and efficient environment
  • Administrative Support : Assist with expense tracking, document preparation, and filing systems
  • Ad Hoc Projects : Tackle miscellaneous projects and tasks that arise in the fast-moving environment of a hedge fund

Qualifications

  • Prior experience as an Executive Assistant or in high-end hospitality / luxury service (e.g., boutique hotel, private club, concierge, or event planning) with demonstrated client-facing responsibilities
  • Strong organizational and time-management skills; ability to juggle multiple priorities with discretion and professionalism
  • Proficiency with Microsoft Office (or Microsoft 365); familiarity with Zoom / Google Workspace a plus
  • Excellent written and verbal communication skills
  • High attention to detail and a proactive, solutions-oriented mindset
  • Bachelor’s degree preferred but not required
  • Role Details

  • Schedule : Part-time (approximately 20-25 hours per week, with potential flexibility)
  • Growth Path : Opportunity to expand responsibilities in Investor Relations and transition to full-time as the role and firm’s needs grow
  • Compensation : Competitive hourly rate, commensurate with experience and scope of responsibilities
  • Location : Based in Austin, TX near Bee Cave. Some tasks may be handled remotely, but regular in-person availability is required
