Position Summary

Under the supervision of the Running Start Manager and Director of Advising, Transfer, and Running Start (ATRS), the Program Coordinator provides administrative support to the ATRS Department (Advising, Transfer, and Running Start), and administrative / secretarial support to the Director of Advising, Transfer, and Running Start and the Dean of Student Success. This position may oversee the work of Work-Study students.

This position is typically scheduled to work Monday through Friday 8 : 00AM to 5 : 00PM. The schedule may vary depending on program needs. May be required to work evenings and weekends as needed.

This position works : a hybrid schedule of both remote and on-site work

    What you will be working on :

  • Support students with navigating the Running Start enrollment process by collecting and organizing students¿ quarterly Running Start documents and maintaining digital files connected to the enrollment process.
  • Review and process Enrollment Verification forms, Running Start student contracts, Fee Waiver and Book Voucher Financial Acknowledgement forms.
  • Track and maintain a list of prospective Running Start students eligible to register each quarter (facilitating appointment scheduling, group registration sessions, and orientation for new Running Start students)
  • Monitor and manage Running Start email account and voicemail as well as maintaining email templates for Running Start inquiries and enrollment processes.
  • Keep public-facing Running Start documents up to date online and monitor supply of paper documents in the Running Start office.
  • Support administration of the Running Start book voucher process.
  • Effectively use a student management system to review relevant student information.
  • Create and maintain up-to-date contact list of High School Registrars and Counselors.
  • Support the distribution of enrollment and grade reports to high schools.
  • Collaborate with the Running Start Manager and advisors in the organization and delivery of Running Start Information Sessions, New Student Orientation, and logistics and marketing materials for other Running Start events.
  • Maintain a presence at the Running Start front desk and support students and department visitors with check-in. Provide onboarding and support of student workers during front-desk shifts.
  • Keeps the Running Start Manager, Director of ATRS, and Dean of Student Success informed of significant and important items requiring review or action; obtains information from staff members and campus departments, relays assignments and projects, calls attention to deadlines, and obtains progress reports.
  • Serves as a liaison between ATRS and Campus IT; responsible for troubleshooting, solving technology problems, if possible, and referring issues to Campus IT via their ticketing process.
  • Collaborates and works closely with colleagues in all centers in the Advising, Transfer, and Running Start Departments on various projects, activities, and deadlines.
  • Supports Director of Advising and Dean of Student Success with administrative tasks necessary for departmental success.

    What you bring as a candidate : (Any Equivalent Combination of Knowledge, Skills, Abilities, Education and Experience)

  • High school graduation or equivalent AND two or more years of experience in the department specialty OR equivalent education / experience.
  • Proficient in using spreadsheets, graphics, statistical, and database queries.
  • Experience providing excellent customer service in a multi-ethnic, multi-cultural environment.
  • Exceptional organizational skills and ability to process documents in a high-volume work environment.
  • Ability to utilize program knowledge and critical thinking skills.
  • Ability to demonstrate detail and accuracy as well as communicate the information to others.
  • Proficient in Microsoft Office, including Word, PowerPoint, and Excel to produce and update spreadsheets, graphics, statistical and data based documents.
