Self Help Inc. is currently looking for a Fuel Program Scanner to join our team.

We provide a range of services for families and households across Southeastern Massachusetts.

Job Summary

The Fuel Program Scanner is responsible for efficient and accurate scanning, digitization, and organization of various documents and records related to specific programs or departmental needs. This role plays a crucial part in maintaining digital archives, ensuring data accessibility, and supporting compliance requirements. The ideal candidate will be highly detail-oriented, possess excellent organizational skills, and be committed to maintaining the confidentiality and integrity of sensitive information.

Key Responsibilities

  • Document Preparation : Prepare physical documents for scanning, including removing staples, paper clips, repairing damaged pages, and organizing them according to established protocols.
  • High-Volume Scanning : Operate high-speed document scanners to digitize a wide range of materials, such as applications, reports, historical records, and correspondence.
  • Quality Control : Perform thorough quality checks on all scanned images to ensure clarity, completeness, and accuracy; re-scan documents as necessary.
  • Indexing and Data Entry : Accurately index scanned documents with relevant metadata (e.g., dates, names, ID numbers) into document management systems or databases.
  • File Organization : Organize and categorize digital files into appropriate folders and directories following established naming conventions and departmental structures.
  • Troubleshooting : Identify and resolve basic scanner malfunctions or software issues, escalating more complex problems to IT support or supervisor.
  • Physical Document Handling : Safely handle, store, and retrieve physical documents before and after scanning, ensuring their integrity and security.
  • Confidentiality & Security : Maintain strict confidentiality of all sensitive information and adhere to all data security and privacy policies.
  • Process Improvement : Identify and suggest potential improvements to scanning workflows and document management processes.
  • Translation- assist clients when needed for interpreting services.

  • Must pass a criminal background check and other required clearances
  • Valid driver's license and reliable transportation is required
  • Schedule

  • Monday-Friday
  • 8AM-4PM
  • 52 Weeks per year
  • Knowledge, Skills and abilities

  • Exceptional attention to detail and accuracy.
  • Strong organizational and time management skills.
  • Proficient computer skills, including experience with Microsoft Office Suite and ability to quickly learn new software.
  • Ability to work efficiently and meticulously with large volumes of documents.
  • Good problem-solving skills for minor equipment or document issues.
  • Ability to work independently and collaboratively within a team.
  • Understanding of data privacy and confidentiality principles.
  • Education & Experience

  • 1+ years of experience in a document scanning, data entry, or administrative role, preferably in a high-volume environment.
  • Experience with various types of document scanners and document management systems (DMS) is a plus.
  • High school diploma or equivalent required.
