What you'll be doing
We are seeking a highly organized and detail-oriented National Administrative Assistant to support our National Sales and Sales Management teams. This role plays a critical part in ensuring smooth administrative processes, managing communication across departments, coordinating nationwide meetings and travel, and supporting high-level projects. The ideal candidate will thrive in a fast-paced environment, demonstrate initiative, and maintain confidentiality with the highest level of professionalism.
- Provide high-level administrative support to national leadership and department heads
- Coordinate and schedule meetings, appointments, conference calls, and travel arrangements across multiple time zones
- Prepare and maintain reports, presentations, and documents
- Manage internal communication and track tasks to ensure timely completion
- Assist in coordinating nationwide events, meetings, and training sessions
- Support invoice processing, budget tracking, and expense reporting
- Organize and maintain digital and physical filing systems
- Liaise with regional offices and departments to align administrative procedures and ensure consistency
- Monitor and respond to emails and phone calls on behalf of national team members when appropriate
- Maintain a high level of professionalism and confidentiality in all interactions
What skills & experience you'll bring to us
High school diploma or equivalent required; associate or bachelor's degree preferredexperience with Microsoft dynamics or Salesforce (CRM / SEO experience level)3+ years of administrative experience supporting multiple departments or executivesExperience supporting multi-site or national-level operations a plusStrong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), and virtual meeting platforms (Teams, Zoom)Excellent organizational, multitasking, and time management skillsClear, professional communication-written and verbalProven ability to handle confidential information with discretionSelf-starter with a proactive, can-do attitudeAt least five years' relevant experience, preferably in the construction industryExperience with 3 rd part vendor portals.
