Job Summary :
This role develops, manages, and coordinates grant proposal narrative development for funding opportunities, working closely with the Director and COAHEC staff for federal and non-federal sponsors for major proposals. Edits and / or coordinates proposal development with the Director or staff for full proposals for a variety of research activities, ranging from individual support to large, multi-year / multi-institution proposals. This role manages the data for the program office and six regional offices, ensuring that collection is compliant with grant requirements. Some database design and data collection methodology will be necessary to complete the requirements for some grants. This position is also responsible for evaluating current and future programs based on grant requirements. This position will be responsible for training members of the COAHEC Program Office and regional staff to use data collection technology. The position requires year-round evaluation of data collection and database maintenance. A key responsibility of this position is to research funding opportunities that align with the mission and goals of COAHEC.
Key Responsibilities :
Program Evaluation and Support (50%) :
- Serve as Program Evaluator for all COAHEC grants and programs and is responsible for the design and implementation of the evaluation plan and subsequent evaluation reports as required by HRSA and other grant-making agencies.
- Design and implement evaluation tools, processes, and indicators to evaluate all COAHEC activities and programs, the effectiveness and impact of programs, including pre- and post-tests, interviews, Rapid Cycle Quality Improvement (RCQI), and Plan-Do-Study-Act
- Analyze data to inform quality program improvement and strategic planning.
- Create and submit compliance reports required by grantors, including HRSA, using data collected from the Program Office and supporting regions. These reports include, but are not limited to, Annual Performance Review (APR), continuing education, pipeline participant tracking, interdisciplinary professional education, AHEC Scholar demographic and workforce data, and clinical training placement data.
- Collaborate with the Business Manager and Director to ensure grant evaluation compliance.
- Work with Program office staff and the Director to facilitate grant objectives.
- Create Formstack forms to collect data for individual programs.
Data Systems & Reporting (25%) :
Utilize Salesforce to manage and track program data, including participant demographics, activities, and outcomes.Maintain a working knowledge of Salesforce processes, including object and field creation, maintaining lightning pages, record types, custom settings, dashboards, page layouts, report creation, and some Flow processes.Use Formstack to build and distribute surveys and forms that support program evaluation and data collection.Responsible for consistently monitoring reporting requirements and updating databases and data collection methods to reflect current requirements for HRSA and other grants.Produce custom reports and other data documentation upon request for the Director and Program Office.Review data to ensure compliance, accuracy, and completion.Meet with regional representatives regularly to communicate data expectations and review database entries.Provide technical support for all evaluation tools and reports.Grants Management (25%) :
Serve as the lead administrator for Colorado AHEC’s HRSA grant, including managing timelines, deliverables, and compliance.Prepare and submit high-quality grant proposals aligned with COAHEC’s mission and strategic priorities by providing full lifecycle editing and writing support for grant submissions, creating proposal work plans, managing timelines and proposal milestones, and coordinating meetings and documents within sponsored program seeking teams.Track proposal and grant requirements and outcomes, using compliance matrices to ensure all submissions and awards meet funding guidelines.Coordinate with regional centers and university partners to compile required reporting data and integrate content from multiple team members to ensure a unified voice and appearance across all narrative and reporting documents.Ensure timely submission of federal progress reports, budget justifications, and performance metrics.Collaborate with financial staff to monitor grant budgets, track expenditures, and ensure fiscal accountability.Research and identify new funding opportunities from federal, state, foundation, and philanthropic sources.Manage fundraising initiatives that expand program reach and sustainability.Work with the Business Manager and the Office of Grants and Contracts to maintain grant budgets and subcontract payments.Collaborate with the Business Manager and Director to create grant management documents, including the Master Operating Contract and Subaward Agreements.Work Location :
Hybrid – this role is eligible for a hybrid schedule of 3 days per week on campus and as needed for in-person meetings.
