Administrative Assistant Construction Design (Full Time, Days)

Job Summary : Provides clerical and administrative support to the Leader(s) in the Construction Design department.

Minimum Job Requirements

  • 2?3 years of Administrative Assistant or Secretarial experience.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
  • High school education or equivalent preferred.
  • Experience with architecture or construction office preferred.

Essential Duties and Responsibilities

  • Assists Leader(s) with special projects, organizes meetings, conferences, and other special events; performs research and analysis for related projects and specific issues.
  • Composes, types, edits, and proofs correspondence, reports, letters, memoranda, vendor contracts, AIA contracts, and other documents.
  • Prepares meeting minutes and other sensitive documents.
  • Prepares presentations, financial and non?financial reports for the Leader.
  • Creates project presentation binders, brochures, and pamphlets for leadership.
  • Assists with AutoCAD floor plan formatting, plotting, and Photoshop projects.
  • Maintains furniture inventory lists, furnishings replacement lists, and coordinates user groups furnishings floor plans.
  • Maintains materials and finishes library, labels, dates old files, and stores project drawings.
  • Provides clerical support in problem solving and planning to ensure delivery of department goals.
  • Edits KRONOS transactions in a timely manner.
  • Orders and maintains office supplies; submits POs and contracts for approval and follows up on completion or renewal.
  • Submits work orders for maintenance of phone, computer, and equipment.
  • Copies, scans, files, faxes, and handles special projects as directed by Leader(s).
  • Maintains files and records for Leader(s).
  • Prepares financial plans, budgets, and forecast reports for approval.
  • Provides clerical support, greets and assists visitors, maintains calendars and vendor appointment schedule, coordinates travel arrangements, and handles public relations for Leader(s).
