This multifaceted role combines finance & accounting support, human resources coordination, and office management responsibilities. Key Responsibilities
Finance & Accounting (30%)
- Tax Administration : Handle new state tax setup processes and maintain compliance across multiple jurisdictions
- Employment Verification : Process verification of employment or credentials requests for former and current staff members
- Financial Operations : Deposit checks received in the office and manage day-to-day banking activities
- Vendor Management : Track down W-9s and other required tax forms from vendors to ensure compliance
- Document Management : Scan and digitize paper records to convert physical financial documents into organized digital files
- Record Retrieval : Assist accounting staff by pulling specific files or records when requested to support financial processes
Human Resources (40%)
Employee Engagement : Schedule and execute employee engagement activities to foster a positive workplace cultureEmployment Verification : Process all employment verification requests efficiently and accuratelyRecruitment Support : Assist with various aspects of the recruitment process as needed, including candidate coordinationPerformance Management : Coordinate the quarterly 9-box process, including preparing presentation slides to kick off each review cycleEmployee Documentation : Draft professional employee documentation including offer letters, promotion letters, and other HR correspondenceHRIS Management : Run reports from the Human Resources Information System (HRIS) to support various HR projects and initiativesPersonnel Files : Maintain accurate and up-to-date online employee personnel files in compliance with regulationsEmployee Support : Answer employee inquiries related to the employee handbook and benefit plansEvent Planning : Plan and execute company events, meetings, and team-building activitiesOther miscellaneous projects as neededOffice Management (30%)
Daily Operations : Oversee daily office operations and maintain a professional, welcoming work environmentReception Duties : Manage front desk responsibilities including greeting visitors and answering phones professionallyMail & Shipping : Handle all mail distribution and coordinate shipping / receiving activitiesFacilities Coordination : Coordinate meeting room bookings and setup to ensure smooth operationsVendor Relations : Manage relationships with building management and service vendorsMail Management : Receive, sort, and distribute all office mail to appropriate departmentsRequirements :
