The Opportunity :
The Child Nutrition Program Operations Supervisor supports the effective delivery of the Child Nutrition Programs, including the Child and Adult Care Food Program (CACFP), Summer Food Service Program (SFSP), and Backpack Program. This role advocates for the nutritional needs of children at risk of hunger and ensures that program operations align with USDA, Illinois State Board of Education (ISBE), and Food Bank standards. The supervisor serves as the primary point of contact for program ordering, tracking, and invoicing, maintaining accuracy, efficiency, and compliance across all child nutrition initiatives.
This Full-Time position is based out of our West Suburban Center (Geneva) location.
Duties and Responsibilities :
- Act as a liaison between sites, vendors, and transportation as it relates to ensuring meals are delivered to each program location.
- Communicate with sites when there is missing or incomplete program information.
- Review delivered amounts and adjust deliveries based on site average site participation.
- Create and maintain program documents and databases
- Assist in logistical tasks related to site training sessions, site visit schedules, delivery of meals and providing current information to food service vendors
- Visit partner sites during food distribution and service operation to ensure their compliance with program regulations according to NIFB, USDA, ISBE, and Feeding America and complete required visit documentation
- Communicate findings of site visits to Program Manager and discuss next course of action
- Attend and participate in program training sessions provided by Illinois State Board of Education (ISBE), USDA, and Feeding America
- Reconcile vendor billing against program orders.
- Engender a positive relationship with all community and agency partners to ensure maximum utilization and involvement of NIFB
- Place weekly order for food items based on the approved menus and for the number of participating children per site as directed by the Program Manager.
- Communicate to vendors changes in meals (increasing, decreasing, and cancelling) in a timely manner.
- Coordinate picking, staging and packing with Northern Illinois Food Bank warehouse team, transportation team and volunteers. Trouble-shoot packing issues.
- Maintain inventory of product for Northern Illinois Food Bank child nutrition programs. Follow food bank inventory management procedures for purchasing, receiving and invoicing of inventory as well as those specific to ISBE, USDA, or any other applicable grant requirement.
- Maintain proper documentation of all purchasing, shipments, invoicing, and delivery of food. Manage the outgoing and incoming invoices to drivers for record keeping. Trouble-shoot issues when discrepancies amongst invoices / bills arise.
- Assist transportation in determining delivery routes and work with drivers to map routes; Adjusts delivery routes as needed.
- Assist Program Manager with other program logistics as needed.
- Perform other related duties and participate in special projects as needed.
