Job Summary :
Wayne Health is a non-profit, multi-specialty academic group practice that offers a full spectrum of care, from birth to end-of-life, for individuals and families. In response to the COVID-19 pandemic, the Wayne Mobile Health Unit (WMHU) was established in partnership with Wayne State University. The mission of the WHMU is to provide access to high-quality, portable patient-centric preventative health care to the underserved and underinsured in Southeast Michigan. We provide screening services and linkage to care for those individuals who are at greater risk of developing long term illnesses.
The Administrative Coordinator represents all facets of the WMHU program. The position will be responsible for meeting with community and business partners to organize and schedule MHU events. In addition, this person will arrange and schedule appropriate staff to meet the needs of each event. This individual must be organized and have excellent communication skills with both internal and external clients as well as ability to work independently or collaboratively across all Wayne Health and Wayne State University departments. They must be able to juggle multiple tasks simultaneously and have a passion for serving the residents of Southeast Michigan.
Job Description :
Essential Duties and Responsibilities :
- Acts as the point person for scheduling Wayne Health Mobile Units by collaborating with community partners, stakeholders, Wayne State University, companies, and non-profit organizations.
- Works with the WMHU administrative team on the design, development, and execution of comprehensive change in outreach, scheduling, and deployment strategies across the Mobile Unit.
- Works with WSU / WH Grant Liaison to incorporate each project into overall MU budget, schedules events for each project, balances grant outreach requirements with overall MU vision and goals, with intent to overlap both entities goals wherever possible.
- Collaborates with local and state leaders in partnering MU's vision with the goals and needs of the community.
- Meets with WSU research team to schedule meetings, planning sessions, marketing initiatives and to strategize regarding future events.
- Assists the WMHU administrative team with managing the overall schedule for the WHMU for both grant and corporate events.
- Works directly with the WMHU Manager and the Community Health Worker Manager to schedule staff for WMHU events, staff training and WMHU special projects.
- Works with WMHU administrative team to create event flyers.
- Works with WMHU administrative team to promote WMHU events.
- Coordinates external marketing communications with Wayne Health and WMHU administrative teams to ensure compliance with WH branding.
- Responsible for WHMU Web Calendar Updates and Maintenance.
- Responsible for managing all WHMU website & email event requests.
- Responsible for creating event-specific Jot Forms related to community and business events.
- Works with WMHU administrative team and WH Legal team to develop Service Agreements for community and business events.
- Works with WMHU administrative team to coordinate business partner outreach and engagement.
- Supports community partner linkage and community engagement for sites.
- Attends community leadership workgroups and meetings.
- Participates in multiple memberships in local community & business-focused organizations.
- Provides administrative support to the WMHU Team.
- Performs review and analysis of special projects and reports to leadership.
- Other duties as assigned.
Education, Licensure / Certification, and Training :
High School Diploma or GED and 5 years of relevant experienceBachelor's Degree preferred2+ years of project management experience preferredSkills and Abilities Required :
Ability to communicate effectively, both verbally and in writing.Interpersonal skills necessary to establish and maintain productive working relationships with physicians, patients and their families and other internal and external stakeholders.Ability to work independently.Safety Requirements :
Compliance with Department Health and Safety policies and procedures.Working Conditions / Schedules :
