Position Summary :

The Transfer Credit Evaluator is a key member of the Transfer Credit Evaluation team within the Registrar’s Office and is responsible for assessing and determining the acceptance of prior college-level coursework for incoming transfer students. This role involves analyzing, organizing, and processing academic records and transcripts to evaluate eligibility for academic credit and program placement.

The position requires careful and accurate review of student records and the ability to make informed decisions regarding complex transfer equivalencies. Additional responsibilities include precise data entry and posting of credits to student academic records, as well as providing detailed guidance to students, faculty, and administrative staff on the applicability of transfer credits to degree requirements and general education. A strong commitment to delivering excellent customer service to all university stakeholders is essential.

Essential Job Responsibilities :

1. Conduct detailed, course-by-course evaluations of transfer credit, identifying appropriate course articulations and determining the number of credit hours to be awarded. This includes assessing the equivalency of coursework completed at other colleges or institutions. Responsibilities involve gathering, verifying, and coordinating relevant information; applying analytical skills to evaluate student transcripts; and articulating courses in accordance with university policies.

Review for repeated courses or those taken out of sequence by referencing college catalogs, the Transfer Evaluation System (TES), or through direct communication with other institutions. Confirm the accreditation status of the originating institutions and evaluate course level, content, credit value, unit conversions, transferability, grading systems, and military credit eligibility. Prepare individualized transfer course lists for prospective, admitted, and enrolled undergraduate or graduate students.

2. Act as the primary point of contact for university transfer policies and transfer credit inquiries, including explanations of course list reports. Stay up to date with current university catalogs, academic programs, policies, and procedures. Provide accurate and timely information to students, admissions counselors, academic advisors, and faculty regarding transfer coursework. Oversee all phases of the articulation process, ensuring timely follow-up with departments and faculty to facilitate prompt decisions and responses.

3. Manage the entry of traditional and non-traditional transfer credit into PeopleSoft, including credits from partnership and international programs, work-life experience, AP, dual credit, graduate-level coursework, military service, and study abroad. Support the Registrar’s Office as needed by entering data related to student program plans, student groups, and subplans that affect degree audits and curriculum requirements. Process Change of Academic Plans (CAP) requests by accurately updating information in PeopleSoft.

4. Support the development and maintenance of transfer course equivalences within the Transfer Evaluation System (TES) and other platforms such as PeopleSoft. This includes participating in the five-year review process of existing community college transfer course listings.

5. Provide support for External Credit programs for both admitted and current students, including freshmen and transfer populations. This includes evaluating and processing credits from Advanced Placement (AP), International Baccalaureate (IB), College-Level Examination Program (CLEP), and other approved programs. Responsibilities also include managing the processing and distribution of Petition for External Credit forms.

6. Assist faculty with the review of course syllabi and support currently enrolled students in submitting transfer course approval forms.

7. Other duties as assigned.

Other Functions :

1. Deliver exceptional service to students, staff, faculty, and visitors while ensuring compliance with FERPA regulations.

2. Create documentation to support the transfer credit articulation process and assist in training staff members.

3. Contribute to the development and maintenance of content for the Transfer Credit Evaluation website, TES, and Transferology.

4. Ensure alignment with Illinois Articulation Initiative (IAI) general education requirements when evaluating undergraduate transfer credit.

5. Assist in the development and oversight of articulation agreements with other postsecondary institutions.

6. Participate in professional development opportunities both on and off campus.

7. Support system testing efforts in PeopleSoft and other platforms.

8. Perform additional duties as assigned.

Required Qualifications :

Education : High School Graduate / GED Required, Bachelor's Degree Preferred

Experience :   Two years of experience in a University setting with at least one year in Registrar’s, Advising, or Admissions setting preferred.

Specific Skills : Previous experience in transfer credit articulation or evaluation is highly preferred as is proficiency in Microsoft Office Suite and / or PeopleSoft. The role demands strict adherence to privacy regulations and student confidentiality (FERPA), as well as compliance with departmental and university policies, catalog guidelines, and a commitment to accuracy in credit evaluation.

Physical Requirements :  While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to touch, handle or feel; and reach with hands and arms. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds. Use of computer screens, phone and customer service. May require bending or sitting for long periods of time. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
