Senior Executive Assistant

This Senior Executive Assistant will support two to three business executives within our Risk & Legal teams. This is a highly visible position, with frequent exposure to internal leadership and C-level executives and will need to possess a high level of professionalism. This role requires excellent independent judgment and discretion in handling sensitive and confidential information along with a strong attention to detail, accuracy, and clear communication. This individual must be comfortable with an unpredictable workflow in a rapidly changing environment, with an ability to anticipate future activities and priorities to ensure leaders are prepared for all meetings and events.

What you'll do :

  • Serve as a liaison to the leader(s) and is considered a communication link among the leader, direct reports, peers, business partners, and customers.
  • Proactively manage calendars, email, calls, and other correspondence, while anticipating challenges and conflicting priorities and helping to navigate the requests with a calm sense of responsibility.
  • Coordinate domestic and international travel (when necessary); prepare expense reports and ensure timely submission and accurate completion.
  • Exhibit strong problem-solving and project management skills to assist executives in organizing and planning day-to-day, weekly, and monthly cadence.
  • Maintain sensitive and confidential records, files, and reports.
  • Proactively assist the coordination, planning, and administration of department meetings and / or events, including the agenda and meeting minutes, some of which may include external audiences.
  • Prepare correspondence, presentations, and documents, as needed for onsite and offsite partnership / team meetings.
  • Collaborate, share, and model best practices and efficiencies with the Executive Assistant teams to foster and build relationships.
  • Be a voice for the team in building the culture and the collaboration among the different cross-functional departments and teams.
  • Be a learner, open, honest, and collaborative with all levels of the organization.

Basics Requirements

  • 5+ years of administrative experience, or any equivalent combination of experience and training that provides the required knowledge, skills, and abilities with 3 or more years directly supporting a senior leader / executive.
  • Advanced MS Office and business software skills.
  • Excellent written and verbal communication and time management skills.
  • Preferred Qualifications

  • Experience using expense reporting software, Oracle preferred.
  • Experience supporting leaders in a HR, Risk, Legal or compliance capabilities.
