ANNUAL SALARY RANGE : $56, - 94, (Salaries are paid biweekly)

ANNUAL ANTICIPATED HIRING RANGE :   $64, - 80, (Salaries are paid biweekly)

    Job Summary

    The Office Manager position is responsible for leading and coordinating the administrative functions of the City Manager’s Office. It provides direct supervision to the administrative support team, including front desk staff and an executive assistant. This team serves as the first point of contact for the City Manager’s Office, representing the Mayor, City Manager and executive leadership to internal staff, community members, and outside organizations.

    The Office Manager plays a key role in ensuring the administrative team operates smoothly to deliver exceptional service and support within a dynamic and public-service focused environment. Responsibilities include managing front desk operations, overseeing scheduling and meeting coordination, and ensuring consistent and responsive support for the Deputy City Manager, Assistant City Managers, and the Equity Officer. The position also handles financial and purchasing processes, contract and agreement tracking, facility and equipment needs and leads various department projects and process improvement efforts. This position will also be the primary backup for Council support.

    This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities while providing clear leadership and direction to staff. Experience working in or with executive-level offices, and knowledge of City Manager's Office functions and processes, is preferred.

    Essential Duties and Responsibilities

    The following duties and responsibilities are illustrative of the primary functions of this position and are not intended to be all inclusive.

  • Oversees front desk operations, office management functions and associated staff.
  • May be responsible for various financial or budget functions that may include petty cash management, monitoring / tracking revenues, formulating and drafting department budget, accounts payable / receivable, payroll actions, monitoring / reviewing financial reports or timesheet processing.
  • May perform the functions of the employees supervised.
  • Participate as part of the department\'s management team.
  • May initiate changes in working conditions and use of equipment to increase efficiency.
  • Recommends or develops policies or procedures that promote customer service.
  • Prepare customer communication documentation and other written responses to questions, requests, and complaints.
  • May perform research and implement actions by referencing and interpreting city and department policies, procedures, codes and regulations in response to internal and external customer requests.
  • Special event planning for meetings, employee events, community meetings, etc.
  • Performs word processing, data entry, and may maintain databases and / or spreadsheets.
  • Creates and generates materials for presentations including PowerPoint or printed materials etc.
  • Coordinate hiring functions such as drug test forms, background checks, and other hiring documentation or other department personnel functions.
  • Provide administrative support to managers and other technical staff as needed.
  • May act as staff liaison for the department.

  • Knowledge of pertinent federal and City laws, regulations, policies and procedures.
  • Excellent oral and written communications skills.
  • Ability to develop and maintain high level of customer service.
  • Ability to organize multiple priorities.
  • Thorough knowledge of department processes and procedures.
  • Ability to explain office procedures and department projects to customers.
  • Required Qualifications

    Minimum Preferred College degree or equivalent work experience. Some positions may require functionally related certification or advanced degrees College or technical school courses in business, human resources, or related field

    Experience Requirements

  • Two to three years related experience including supervision; or equivalent combination of education and experience.
